Job Description
THE OPPORTUNITY
To perform daily secretarial supports to HK/MC/TW Cluster Managing Director, Human Resources Director, and Finance Director.
WHAT YOU WILL DO
Schedule and appointment correspondence and management for Managing Director, Human Resources Director and Finance Director.
Business trip arrangement for Managing Director, Human Resources Director and Finance Director, including receiving incoming visitors with logistics arrangements, agenda alignment, as well as outgoing business trips.
Coordinating meetings for Leadership Team and Executives to ensure meeting agenda, logistics and communications are well-delivered.
Supporting key stakeholders with expense management, budget management and tracking.
Equipping with good communication skills to effectively interact with executives and internal and external clients both on-site and remotely to maintain workflow.
Contracting, invoice, Purchase Order monitoring and processing, including quarterly accruals.
Center of Expertise for overall ADM Associates, including but not limited to acting as the coach for new ADM Associates in providing job orientation and coaching, proactively and regularly review administration processes and lead process optimization when needed.
To provide support on assigned projects and/or marketing events.
Other ad hoc tasks assigned
WHAT YOU MUST HAVE
8 year and above of experience as executive secretarial role for senior leaders, experience with expats is a plus
Good command of English, both oral and written
Excellent communication skills both written and verbal
Agility in multi-task management and vendor management
Attention to detail and prioritization
Advanced skill set using MS Office (Outlook, Word, Excel, Power Point, etc.), setting up Collaboration sites, SharePoint and MS Teams sites
Ability to work independently and risk management
Preferred
Working experience in bio-pharmaceutical companies
Is skilled in document management and data analysis; is familiar with analytical tools such as Power BI, Excel
Experienced in using Veeva, Concur and SAP systems
