Job Summary
The Research Operations Assistant provides research and operational support to the Centre for Cardiovascular Innovation.
Organizational Status
The Research Operations Assistant reports to the Senior Finance and Administration Manager and receives directions and supervision from them. The incumbent works closely with other staff members to support the operational needs of the Research Centre.
Work Performed
-Provides support for study startup for the research team.
-Ensure compliance with institutional Standard Operating Procedures (SOPs), policies and procedures.
-Communicates and liaises with industry sponsors, granting agencies, coordinating centres, study sites, Research Ethics Board (REB), Innovation UBC, Office of Research Services (ORS), Research Finance, UBC Faculty of Medicine and Research Institutes.
-Prepares and organizes UBC and health authorities finance documents
-Tracks and monitors the progress of invoicing for clinical trials, research projects and services.
-Set up and maintain project grants and research cost centres.
-Prepares reconciliations for clinical trials, research grants and projects, initiate and follow up on collection of funds due to research projects, close inactive accounts and monitor deposit of funds.
-Maintains & updates tracking logs for clinical trials activities.
-Develops and maintains excellent study specific files and documentation for clinical trials and research projects.
-Maintains internal record keeping systems, including the input and maintenance of data and providing status and activity reports as required
-Communicates processes and procedures to clinical and research personnel. provide updates and support to staff as needed.
-Plans, coordinates, and facilitates team meetings and research committees’ meetings
-Performs data entry in a timely and accurate manner.
-Provides support to the research team in various functions as required.
Consequence of Error/Judgement
The incumbent must be able to work independently and collaboratively and exercise sound judgment. Errors in performance of assigned duties could significantly impact the research projects. There are time-sensitive matters with deadlines that must be met and failure to meet deadlines could have negative effects on the research centre, research opportunities, and internal and external relations. A high level of accuracy, a thorough understanding of policies and procedures, the ability to anticipate, investigate and resolve problems, while managing competing priorities are essential.
Supervision Received
The Research Operations Assistant works under the general direction and supervision of the Senior Finance and Administration Manager as part of a collaborative team. This incumbent is expected to work independently within established objectives and to exercise initiative and sound judgment in carrying out all work-related responsibilities.
Supervision Given
The Research Operations Assistant will serve as a resource for faculty, staff and students and may provide guidance to new staff.
Minimum Qualifications
Completion of a relevant technical program or a university degree in a relevant discipline and a minimum three years of related experience or an equivalent combination of education and experience.

Preferred Qualifications
-Experience working in a research or academic environment
-Proficiency in Microsoft Office applications, including Outlook, Word, Excel and PowerPoint.
-Experience in research finances
-Excellent organizational, written and verbal communication, and interpersonal skills
-Demonstrate sound judgment, critical thinking, logical decision making
-Strong problem-solving skills, ability to anticipate and resolve issues in a timely, effective, ethical, professional, and constructive manner
-Strong negotiation, conflict resolution and rapport-building skills
