As a Personal Assistant at Vanguard, you’ll provide high-level administrative and organizational support to senior executives, ensuring smooth day-to-day operations and enabling leaders to focus on strategic priorities. This is a pivotal role that requires discretion, exceptional communication skills, and the ability to manage multiple tasks in a fast-paced, dynamic environment. Key Responsibilities

  • Serve as the trusted first point of contact for the executive, handling enquiries and correspondence professionally.
  • Manage complex diaries, schedule meetings, and coordinate appointments to keep priorities on track.
  • Organize travel arrangements, accommodation, and detailed itineraries.
  • Prepare reports, presentations, and meeting documentation to support informed decision-making.
  • Liaise confidently with internal teams and external stakeholders on behalf of the executive.
  • Process expenses and assist with budget tracking.
  • Support event planning and coordination for key business activities.
  • Handle confidential information with the highest level of integrity and discretion.

  • Exceptional organizational and time-management skills with a keen eye for detail.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and digital collaboration tools.
  • Ability to prioritize tasks and thrive under pressure in a fast-paced environment.
  • High level of professionalism, discretion, and confidentiality.
  • A proactive, solutions-focused mindset and a positive “can-do” attitude.

Qualifications & Experience

  • Previous experience as a Personal Assistant or in a similar administrative role.
  • Knowledge of office management systems and procedures.
  • Degree or equivalent qualification preferred.
