SUMMARY 

Pendry San Diego is seeking an Operations Coordinator to provide administrative support to the Operations teams with professionalism and confidentiality. This role will include a wide variety of complex and confidential administrative functions, handling multiple projects with accuracy and proficiency, including but not limited to: answering telephone calls, scheduling appointments, communicating information, composing correspondence, taking and transcribing meeting minutes, creating presentations, generating reports, compiling data from a variety of sources, coordinating travel, maintaining a variety of manual and electronic documents, analyzing data, tracking expenses and preparing expense reports, project coordination and communication and contract management.

ESSENTIAL FUNCTIONS

Job duties include; although are not limited to:

  • Creating long- and short-term plans, including setting targets for milestones and adhering to deadlines of Projects
  • Process and manage ordering system for the department(s)
  • Performing clerical duties such as typing, filing, copying, emailing, answering and responding to telephone calls and messages
  • Coordinating meetings, recording minutes, and coordinating P1 meeting room reservations
  • Scheduling travel arrangements when needed
  • Preparing departmental communication pieces
  • Assisting in menu design and production for weekly, seasonal, and annual features
  • Coordinating and maintaining vendor/supplier information
  • Ordering office supplies and ensuring that the department is adequately stocked
  • Entering data for select invoices and products
  • Assisting in recruiting, scheduling interviews for new hires
  • Supporting department(s) with time management on execution of projects
  • Unifying and maintaining all internal documents
  • Responding to visitor and guest requests, questions, and concerns
  • Facilitating resolution when possible or referring individuals to the appropriate manager
  • Support EC Team in regard to operations.
  • Assist with managing GM, Director of F&B, and Assistant Director of Rooms calendars/scheduling
  • Champion online Medallia responses for outlets.
  • Help in the roll out of hotel collateral
  • EC Reservations
  • What’s Happening in San Diego/Pendry Monthly Calendar.   ie. City wide, block parties, concerts, Padres games
  • Neighborhood outreach
  • Bachelor's degree in business or related field, or a minimum of 2 years’ experience in a administrative support role.
  • Proven experience and success in an environment where exposure to highly confidential information and data was commonplace.
  • Must be flexible to adapt to changing business needs and/or ad hoc projects.
  • Must be adept at multi-tasking and managing multiple priorities in a fast-paced environment.
  • Proficient in all Microsoft Office applications, with an emphasis on Excel.
  • Must have solid professional references for a strong skill set, meeting and exceeding job objectives within deadlines, and exceptional job performance.
  • Excellent verbal and written communication skills

PHYSICAL REQUIREMENTS 

Position requires exerting well-paced mobility as well as the ability to maneuver between functions occurring simultaneously. Must be able to bend, stoop, squat and stretch to fulfill tasks. Must be able to lift up to 15-30 lbs. on a regular and continuing basis. Requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, and climbing.

The pay scale for Operations Coordinator is $25 - $27 per hour.


The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
