SUMMARY 

The People Assistant will collaborate with all associate levels within the organization to challenge the status quo and bring the associate experience to the next level. The main focus of the role will be to support the overall People function. This role will contribute to the organization as an active business partner that is responsible for supporting the company's goals, objectives, vision, mission, and values.  

 

ESSENTIAL FUNCTIONS 

Major areas of responsibility/ oversight include, but are not limited to: 

  • Support People office, answering incoming calls, creating a welcoming environment for associates and visitors, and answering associate inquiries and walk-ins 

  • Redirect People related calls or distribute correspondence to the appropriate person of the team 

  • Assisting with general recruiting process including: job requisitions, talent pool reviews, phone screening, interview process  

  • Tracking and monitoring receipt of employment offers, background results, references 

  • Responsible for all communication with newly hired Associates as well as the administration of new hire paperwork 

  • Manage employment records, including but not limited to I-9s, personnel files, benefit information and employment records 

  • Assisting with benefits management and payroll functions when needed 

  • Assist in coordination and execution of associate recognition and engagement programs, total rewards benefit programs, full-cycle recruitment, performance management and recruitment retention strategies.  

  • Complete accurate data entry and analysis on a consistent and timely basis. 

  • Maintain records of personnel-related data in both paper and the database and ensure all employment requirements are met 

  • Perform all administrative duties, tasks and projects as assigned 

  • Maintain the cleanliness and appearance of the People office 

  • Must maintain the highest level of confidentiality; maintain the integrity of the department and property at all times 

  • Maintain compliance with federal and state regulations concerning employment 

 

QUALIFICATIONS  

  • Experience in Human Resources a plus but not a must 

  • Bilingual, fluent in Spanish and English 

  • Basic knowledge of California employment laws, reporting requirements, unemployment insurance, leaves of absence, etc. and HR best practices 

  • Proficient in MS Office and Human Resource Management Systems (HRIS) 

  • People oriented and results driven 

  • Proactive, self-starter 

 

PREFERRED 

  • Bachelor degree or equivalent  

  • Previous luxury hotel experience 

  • Experience working with Workday, and Birchstreet a plus 

PHYSICAL REQUIREMENTS 

Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. Length of time of these tasks may vary from day to day and task to task. Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis. Must be able to lift up to 25 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates; use of these senses will occur on a constant basis.

The pay scale for People Assistant is $24 - $26 per hour.


The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
