This position will be working with Wilhelmsen Ship Management, a comprehensive global maritime group providing over half of the merchant fleet with essential products and services, along with supplying crew and technical management to the largest and most complex vessels ever to sail. With a pool of more than 13000 seafarers and over 600 shore-based employees all over the world, Wilhelmsen Ship Management is one of world’s largest third-party ship managers with a portfolio of more than 450 vessels and counting.
Marine Personnel Senior Specialist supports the Assistant Manager in liaising with the seafarers, the Marine HR team, and stakeholders to ensure timely mobilization of seafarers.

Key Responsibilities:
Support day-to-day operations related to seafarer mobilization and onboarding while ensuring certificates and documents comply with the STCW Convention and Flag State requirements, with valid documentation covering the contract and applicable grace period. Prepare travel and joining letters, coordinate with the licensing team for Flag State document applications, and ensure joining seafarers hold valid national, Flag State, and travel documents.

Maintain accurate and updated seafarer records in the Crew Management System (CMS). Ensure all joining seafarers complete Pre-Employment Medical Examinations (PEME) with company-approved doctors and that all joining documents are sent on time. Conduct authentication checks and update verification records in CMS.

Conduct pre-joining briefings and ensure seafarers onboard hold valid Seafarer Employment Agreements (SEA), with extensions processed and updated promptly. Coordinate with travel service providers for visas, flights, and hotel arrangements, arrange company-specific training as per GTM requirements, and review and approve Eye Share invoices related to PEME, travel, and other seafarer matters.

Support smooth crew joining processes and perform additional operational or ad-hoc tasks assigned by reporting managers to ensure efficient marine personnel operations.
