Inventory Assistant II

Streets Full time

Summary

Supports the Street Department operations through proper inventory control and purchasing activities. This is accomplished by processing staff requests for in-stock and non-stock materials, supplies, tools, equipment, parts and fixed assets; placing orders; receiving inventory; labeling incoming stock for proper identification, and maintaining inventory accuracy using recognized inventory control procedures. Performs various other administrative duties as required.

Pay Range: $16.50 - 22.50 (Depending on qualifications and experience)

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Maintain the department’s warehouse and all inventory, in an orderly, professional manner that ensures efficient identification and retrieval of items

  • Process requests for items not in stock by obtaining quotes and placing orders for such items or purchasing items using a city credit card in accordance with city policies

  • Provide documentation to customers about order status.

  • Picks up orders from source locations and may deliver orders to job sites as required to expedite the distribution of essential items.

  • Receive deliveries from vendors, check deliveries for damage and accuracy, input received inventory into the inventory management database and restock materials that are to be returned.

  • Perform cycle counts and spot inventories at the frequency level defined by management

  • Enter all inventory data into the approved inventory tracking system.

  • Maintain accurate, detailed inventory records and provide various reports to management.

  • Collaborate with the Purchasing Department and Finance Department on all business activities that support inventory procurement and payment of invoices.

  • Provide general office support

  • Review and validate credit card purchases and allocations for expenses made for business activities

  • Oversee the department’s vehicle and equipment key management program.

  • Administer the department’s uniform apparel and footwear program

  • May be responsible for leading special projects or leading a component of such projects in a designated role

  • Provides input on policies and procedures that govern the management of the department’s inventory and equipment

  • Participate in the department’s response to weather events, critical incidents, and other emergencies outside of normally scheduled work hours by staffing the warehouse to order and restock items needed to successfully respond to an event.

Minimum Qualifications

  • High School Diploma or General Equivalency Diploma (G.E.D.)

  • 2 years related experience in warehousing, office administration, or purchasing

Or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.

Preferred Qualifications

Education/ Experience     

  • One (1) year or more of advanced study or training beyond the high school level

  • 3-5 years related experience in inventory management

  • Bilingual (English/Spanish) is preferred

Knowledge, Skills & Abilities        

  • Comprehensive knowledge of warehouse operations, retail operations, or inventory management.

  • Knowledge of construction and maintenance operations

  • Skill in providing exceptional internal and external customer service that consistently exceeds expectations

  • Exceptional organizational skills are essential for success in this position

  • Telephone etiquette skills

  • Must be skilled in communication, both orally and in writing

  • Skill in using Microsoft Office (including Access, Excel, Outlook and Word)  

  • Skill in operating office equipment, including personal computer

  • Skill in creating effective recordkeeping systems

  • Ability to multi-task and to work independently in an office environment, warehouse, and in outdoor settings subject to environmental and climate variations

  • Ability to maintain accurate, timely records

  • Ability to lift 25 pounds

  • Ability to remain calm in high stress situations and to successfully resolve conflict in constructive ways

  • Ability to work outside of normal work hours as required to complete assignments or to respond to city emergencies

Licenses and Certifications

  • Valid Class C Texas driver's license
