The Graduate Academic Advisor provides comprehensive advising to graduate students on program requirements, academic policies, and processes. This role supports students in setting academic and professional goals, connecting them with appropriate resources, and ensuring timely progress toward degree completion. The advisor collaborates with faculty to interpret and apply university policies, maintains accurate student records, and may assist with admissions and orientation activities. Additional responsibilities can include advising graduate student organizations and supporting program coordination to enhance the overall student experience.

This is a full-time, in-person position located on Tarleton’s main ­­­­­­­­­­­­­­­­­campus in Stephenville, Texas. Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate. This position requires a flexible work schedule which at times will entail some evening and weekend work pending scheduled activities. Serves as a Campus Security Authority (CSA).

The candidate's qualifications and professional experience will determine the position level (I, II, or III).

Responsibilities:

Academic Support Duties (85%):

  • Assisting students with course scheduling and registration to promote retention and timely progress toward a degree.

  • Assisting students in understanding and negotiating the academic rules and regulations that govern academic eligibility, progress, and successful degree completion.

  • Mentoring and coaching students by providing timely and accurate information about policies and procedures relevant to academic progress, academic status, general degree requirements, how to set and achieve realistic academic and personal goals and gauge adjustment to academic and social engagement on campus.

  • Assisting students with meeting deadlines for completing various program requirements.

  • Providing crisis intervention and support through assisting students with identifying and addressing barriers to academic success.

  • Assisting students with reviewing their academic progress to develop plans on improving their academic performance.

  • Monitoring and replying to student responses to varying outreach efforts.

  • Routinely reviewing program information specific to each student on your caseload via various office and institutional systems.

  • Making proper referrals to other campus resources.

  • Serving as a liaison between the student and the program staff, and where appropriate, advocating for the students with internal and external audiences.

Student Support Administration Duties (15%):

  • Preparing and submitting regular service delivery reports to the appropriate sources.

  • Maintaining accurate student service records centered on academic progress and plans, goals, concerns, referrals etc.

  • Attending all relevant staff meetings

  • Participating in appropriate training and in-service development seminars.

  • Assisting with meeting the operational needs by performing other appropriate related duties

Minimum Qualifications for each Academic Advisor Level

Required Education and Experience:

Graduate Academic Advisor I

  • Bachelor’s degree or an equivalent combination of education and experience

Graduate Academic Advisor II

  • Bachelor’s degree or an equivalent combination of education and experience

  • One year of related experience

Graduate Academic Advisor III

  • Bachelor’s degree or an equivalent combination of education and experience; A master’s degree can substitute for two years of required experience.

  • Three years of related experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Knowledge of student information systems, degree planning, and degree audits.

  • Excellent written communication, analytical, interpersonal, and organizational skills.

  • Ability to multitask and work cooperatively with others.

  • Ability to present information clearly and concisely.

  • Ability to work with sensitive information and maintain confidentiality.
