About the Role:
The Workplace Coordinator will play a key role in ensuring the office runs smoothly by managing essential day-to-day operations. This position will be responsible for overseeing supplies, coordinating new hire onboarding, managing seating arrangements, and ensuring the facility remains a clean and welcoming environment. This individual will also serve as the primary point of contact for landlord communications and handle mail and shipping logistics.
What You’ll Do:
- Supplies Management: Maintain inventory and order office supplies, including stationery, kitchen items, and general workplace needs.
- New Hire Onboarding: Facilitate office tours, issue security badges, and ensure desks are set up and ready for new hires.
- Security Badges: Manage the issuance, deactivation, and tracking of security badges for all employees.
- Seating Chart: Update and manage the office seating chart to accommodate new hires, internal moves, and space utilization.
- Food and Snacks: Keep the kitchen stocked with snacks, beverages, and other essentials, and coordinate any special office meals or events.
- Janitorial Services: Liaise with janitorial staff to ensure cleanliness and address any issues or service needs.
- Landlord Communication: Serve as the main point of contact for building management, addressing facility and office environment issues as they arise
- Mail and Shipping: Handle incoming and outgoing mail, as well as shipping logistics via FedEx, UPS, and other couriers
Qualifications:
- Minimum years of experience in office management, facilities, or a related administrative role (to be determined)
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Experience managing office supplies, vendor relationships, or facilities is a plus.
- Ability to work independently and proactively address office needs.
- Familiarity with shipping procedures (FedEx, UPS) is an advantage.
