Temporary Biographic Records Associate

Brandeis University seeks to hire a temporary Biographic Records Associate. Working with the Sr. Assistant Director of Biographic Records and Data Administration, the Data Administration Associate supports the timely and accurate entry and maintenance of data within the IA database of record. This temporary position completes assignments independently, consistently, and with minimal oversight. Daily work is conducted within a complex relational database containing over 500,000 active records and an electronic document management system. This role supports the data management and operational needs of approximately 100 IA staff members and provides additional support to the Gift Processing unit during ongoing projects and cyclical workloads.

This is a temporary, full time role for approximately three months.

The hiring range is $25/hour - $28/hour.

Primary Projects and Key Duties

  • Work independently to retrieve, compile, and analyze data from internal and external sources including feeds, reports, forms, and correspondence.
  • Identify, investigate, and reconcile irregular or inconsistent data.
  • Translate information into predefined data codes and constituent relationships.
  • Enter, update, and maintain biographic and demographic data in the IA database.
  • Upload files and perform routine maintenance in the electronic document management system.
  • Assist the Gift Processing unit with day-to-day, cyclical, and project-based work including preparing and copying checks.
  • Support routine gift processing activities such as scanning, batching, filing, and organizing backup materials.
  • Provide administrative and project support for the department during peak processing periods.
  • Perform other duties and special projects as assigned.

Skills and Competencies Required

  • Proficiency with CRMs and CRM business processes; Salesforce experience strongly preferred.
  • Ability to manage a high volume of data entry and frequent data changes with accuracy.
  • Strong time management and organizational skills with the ability to meet deadlines.
  • Detail-oriented, patient, adaptable, and inquisitive with a curiosity for data.
  • Experience with Microsoft Office, Adobe Acrobat or similar tools, Google Workspace, and Zoom.
  • Self-motivated with the ability to work independently and collaboratively.
  • Client-centered, customer-service oriented work style.
  • Collegial and collaborative demeanor reflecting the University’s core values.
  • Ability to exercise sound judgment, discretion, and professional ethics.
  • Strong commitment to data security and confidentiality when handling sensitive information.
  • Adherence to all University and Division policies and procedures.

Education

High school diploma required; B.A./B.S. preferred.

Work Experience

1–3 years.
