Position Summary:
The Talent Acquisition Program Specialist supports the Talent Acquisition (TA) team with day-to-day administrative tasks, program coordination, and stakeholder communication. The role ensures timely submission of documentation, smooth communication between internal and external partners, and effective support for recruitment activities including interview scheduling, event coordination, and general TA operations.
Position Responsibilities:
Program Administration
Prepare and submit documentation for approval processes, ensuring accuracy and timely follow-through
Track ongoing program activities and maintain organised records and files
Assist with updating templates, trackers, and shared folders for smooth TA operations
Stakeholder Coordination
Work with internal stakeholders (HR, hiring managers, business teams) to obtain necessary information and approvals
Communicate with external organisations, vendors, and partners as required for TA programs and activities
Support follow-ups, reminders, and status updates to ensure deadlines are met
Recruitment & Event Support
Assist with interview scheduling and candidate coordination
Support logistics and administration for recruitment events, career fairs, and onboarding-related activities
Help with event registration, document preparation, materials setup, and basic event execution tasks
Provide general administrative support to the TA team as needed
General Administration
Ensure data accuracy within TA systems, trackers, and documentation.
Maintain confidentiality of candidate and employee information
Support reporting needs, documentation preparation, and other TA operational tasks
Perform additional administrative duties to assist TA team members as needed

Position Requirements:
Experience administering Singapore government-funded programs is highly advantageous
Experience in HR, recruitment activities, administrative support, or similar roles is preferred
Fast learner, structured and organized with a strong attention to details and accuracy and excellent follow-through skills.
Demonstrated ability to work in a fast-paced, high-performance environment.
Excellent written and verbal communication, customer service and interpersonal skills.
Experience in using any HRIS / ATS eg. Workday will be advantageous
Proficient computer skills and knowledge of Excel, PowerPoint, Word, and Outlook required

Preferred Experience/Education/Skills:
Bachelor’s degree/Diploma with 2-4 years of relevant experience; or equivalent work experience preferred.
