System Administrator – People Applications

The Role You Could Play

The System Administrator – People Applications is responsible for the day-to-day administration, configuration, and governance of Mecca’s workforce and HR technology platforms — including UKG, Workday, HR3 and Donesafe. This role ensures application stability, data integrity, and secure access management while providing responsive support to the People and Culture team. The System Administrator will collaborate closely with application vendors, internal IT teams, and business stakeholders to maintain operational excellence and enable continuous improvement through effective monitoring and process control.

The People System Administrator is a hands-on technical role, sitting between application support and systems engineering, ensuring the applications’ environment remains stable, secure, and optimised for Mecca’s evolving business needs.

The main responsibilities will include but are not limited to:

  • Administer, configure, and maintain UKG, Workday, HR3, and Donesafe in accordance with business requirements and IT standards.
  • Manage user roles, access control, and permissions to ensure compliance with security and governance frameworks.
  • Monitor system performance, integrations, and data flows, proactively addressing issues or exceptions.
  • Support system upgrades, patches, and release cycles including testing coordination and change documentation.
  • Collaborate with HR, Payroll, and WHS teams to ensure applications support operational needs and compliance requirements.
  • Provide Level 2 and Level 3 application support — troubleshooting, root cause analysis, and escalation to vendors when required.
  • Maintain accurate documentation, configuration records, and support guides.
  • Collaborate with Functional Analysts, Integration Engineers, Business Process Owners and Data Analytics team to ensure reliable operation and change control.
  • Ensure that relevant stakeholders are informed during the incident management process.
  • Collaborate with integration teams on integration issues/dependencies.
  • Ensure the application is sustainable and recoverable for users.
  • Continuously identify and recommend improvements to our systems, processes and procedures to improve reliability and performance.

What You Will Bring

We’re looking for a stakeholder-focused team player who is supportive, collaborative and known as the go-to expert for their application. You’ll be comfortable managing immediate priorities while also contributing to longer-term strategic planning, helping to define work based on business impact. Calm and resourceful in a crisis, you can lead others, build consensus and bring together the right people and information to make informed decisions. You communicate clearly and responsibly, work effectively across distributed groups, and actively support the development and technical growth of your peers.

You will also have:

  • 2–3 years’ experience in system administration or application support within HR, Payroll, or Workforce Management systems.
  • Hands-on experience with one or more People systems (e.g., UKG, Workday, HR3, Donesafe or equivalent).
  • Experience in user and access management, including security roles, permissions, and governance controls.
  • Ability to configure and maintain SaaS applications, including system settings, workflows, scheduling rules, templates, patches, releases, and environment management.
  • Strong capability in monitoring system performance, integrations, and scheduled jobs, including Level 2/3 troubleshooting, log analysis, and root cause investigation.
  • Practical understanding of data integrity, integration flows, and change management processes.
  • Ability to identify integration failures and collaborate effectively with integration engineers and vendors.
  • Strong communication, stakeholder engagement, and documentation skills.
