Purpose within the Organization:
The purpose of this position is to support the Procurement and Travel Department by assisting with the development, maintenance, and analysis of departmental reporting, with a strong emphasis on advanced Excel support and data accuracy. This role also assists with the management of various software platforms and administering updates to improve operational efficiency. Current departmental tools include Coupa, SharePoint, Microsoft Office 365, DEEM, and any future software adopted by the department.
Responsibilities Related to Purpose:
- Assist in developing, updating, and maintaining departmental reports to support accuracy and informed decision-making.
- Provide support with Excel tasks, including creating spreadsheets, updating formulas, and helping maintain reporting dashboards.
- Help gather, organize, and prepare data from departmental systems for reporting and analysis.
- Support the documentation and maintenance of reporting processes, system configurations, and standard procedures.
- Assist with routine system administration tasks in departmental software such as Coupa, SharePoint, Microsoft Office 365, and DEEM.
- Assist in basic troubleshooting of data or software-related issues and escalate as needed.
- Help maintain consistency between development, testing, and production environments during system updates or small configuration changes.
- Perform other support duties as assigned.
Qualifications:
- Must be available to work up to 20 hours per week during terms and up to 40 hours a week during breaks.
- Ability to communicate effectively with colleagues, as well as internal and external customers.
- Moderate to strong experience working with Excel, Google Docs, and Microsoft 365.
- Prior experience providing software support or assisting with software-related tasks.
- Timeliness.
