Position Summary:

Reporting to the Administrative Officer, and in collaboration with the Undergraduate Advising Committee, the Student Advising Supervisor provides guidance, support, and administrative oversight for undergraduate students in the Department of Physics. The incumbent ensures that students receive accurate and timely advising aligned with program requirements. This position contributes to the administration and development of undergraduate programs, supports policy implementation, supervises student affairs-related activities, and acts as a primary point of contact for students seeking support.

Primary Responsibilities:

  • Provide advising to undergraduate students regarding program and course selection, requirements, prerequisites, and deferred and supplemental exams.

  • Provide advising to new students (first-year, CEGEP, transfer, visiting and exchange). Coordinate and participate in the departmental orientation and support University-wide orientation and recruitment events such as McGill Open House.

  • Evaluate records of graduating students to determine whether degree requirements have been met and recommend students for graduation.

  • Assist students experiencing difficulties by providing guidance, information and referrals to other University offices and support services.

  • Point of contact with the faculty academic advising teams (SOUSA) and advisors from other departments regarding student files & policies.

  • Provide support related to administrative processes to the Undergraduate Advising Committee and curriculum committee.

  • Oversee the process of reserved seating for courses, Banner during registration, and permit requests for the department. Interface with students to resolve issues with course registrations. Keep track of enrollments for short- and long-term course planning.

  • Collaborate and oversee the administrative process for program changes and course proposals.

  • Approve the final e-calendar revision & timetable submitted.

  • Track potential undergraduate awards/scholarships and notify relevant committees and students of their availability and student success.

  • Supervise support staff. Plan, schedule and delegate the work of staff in accordance with the department’s goals and objectives and monitor performance.

  • Act as a backup to the Administrative Officer.

  • Respond to requests for information on policies and procedures from staff, students, and representatives from other universities.

  • Create various reports concerning student enrolment, Annual reports, registrations, etc.

  • Advise students on research opportunities and career pathways in physics.

  • Serve as a member of departmental committees.

  • Undertake special projects as assigned.

Note: The incumbent may work evenings and weekends for open house and other events.

Your Qualifications:

  • Education: Undergraduate degree in Physics or related scientific discipline is preferred.

  • Experience: Experienced in university environment with undergraduate student affairs is preferred. Supervisory experience is preferred.

  • Discretion and professionalism, with the ability to handle sensitive or confidential information appropriately.

  • Service‑oriented mindset, committed to supporting students’ academic and personal success.

  • Initiative and adaptability, able to work independently and proactively improve advising processes.

  • Proficient using MS Office Suite (Word, PowerPoint, Outlook and Excel). Knowledge of Minerva, Banner and Workday is an asset.
