Introduction:
We are seeking a detail-oriented and proactive Assistant to provide high-level support to the office of the CEO and our senior assistant team. The successful candidate will act as a force multiplier, handling essential administrative workflows, documentation, and project coordination. This role requires a high degree of organization, a "can-do" attitude, and the ability to navigate fast-paced corporate environments. The person in this role will work directly with the CEO's office. Strong communication and relationship-building skills are essential, as is the ability to manage extremely confidential information with professionalism and discretion. Adaptability and the capacity to prioritize competing demands are also crucial.
Advanced Calendar Management: Assist with complex global schedules and travel arrangements, resolving scheduling conflicts before they arise. Ensure calendars have all relevant meeting information (addresses, TEAMS links, attendees, etc.). Proactively review upcoming months to anticipate scheduling needs.
Travel and Expenses: Manage complex international travel itineraries across multiple time zones, including hotel bookings, car services, and coordination with colleagues for local recommendations and arrangements. Handle online visa applications, digital passport renewals, and specialized entry requirements (ESTA, work permits). Complete executive expense reports using Concur and gather necessary receipts.
Meeting & Event Coordination: Organize cross-functional meetings in the NYC office, including guest registration and ensuring GF employee badge access for New York and other offices by coordinating with the GF security team. Order catering and manage logistics for on-site or virtual events. Assist with Board Meeting logistics and other large meetings as needed.
Project Support: Act as a junior project manager for special assignments, ensuring deadlines are met and progress is communicated to leadership.
Process, Systems, and Organization: Help improve administrative workflow processes in areas such as scheduling, tracking, and onboarding. Simplify, modernize, and automate procedures to reduce manual work. Rebuild and maintain an intuitive digital filing system on OneDrive for team-wide document accessibility and version control.
Purchase Requests & Purchase Orders (PRs/POs): Initiate PR/PO requests, track approvals, and coordinate with the finance department to ensure timely vendor payments. Occasionally liaise directly with vendors.
Prioritization: Effectively manage multiple tasks and shifting priorities in a dynamic environment, quickly adapting to new challenges as they arise.
Required Skills & Qualifications
Education: Bachelor’s degree.
Experience: 3-5 years of experience in an administrative or back-office support role.
Tech Savvy: Proficiency in Microsoft Office, Concur, AI based tools like CoPilot, ChatGPT or Google Gemini to increase work output.
Communication: Excellent written and verbal English communication skills.
Soft Skills: Strong multitasking abilities, discretion with confidential information, and a high level of accuracy.
Will allow for shift flexibility to be able to coordinate with global offices - 12:00 PM – 9:00 PM IST shift (this allows overlap with European or US counterparts) Could do this 2 days a week of the candidate prefers this schedule.
