Regulatory Compliance Specialist

Position Purpose:

The position of Regulatory Compliance Specialist is centered on ensuring adherence to pertinent local, state, and federal regulations by collaborating closely with the Regulatory Compliance Managers. This role demands a proactive approach in submitting and processing essential licenses, permits, and various regulatory reports, while acting as a conduit among Compliance Managers, Accounts Payable, and Purchasing. By leveraging advanced organizational and Microsoft Office skills, particularly Excel, the Specialist will efficiently manage compliance documentation and reporting, crucial to supporting business operations.


Key Responsibilities:

• Coordinate and Submit Regulatory Documents: Efficiently manage the submission of applications for licensing, permits, and regulatory documents to ensure full compliance with local, state, and federal regulations.
• Develop and Collect Compliance Data: Gather and compile data for regulatory reports, such as product tonnage, sales, Sara Title II, CA CERS, ensuring accuracy and completeness in alignment with statutory requirements.
• Facilitate Interdepartmental Collaboration: Serve as a pivotal liaison between Compliance Managers, Accounts Payable, and Purchasing to streamline communication and enhance compliance workflow effectiveness.
• Ensure Timely Documentation: Uphold strict timelines for the filing of documentation related to business and compliance activities, mitigating risks of non-compliance.
• Conduct Specialist Reporting: Execute environmental and other regulatory reporting assignments for designated report types and facility locations, reinforcing adherence to regulatory standards.
• Support New Product Introduction: Collaborate with the purchasing department to acquire Safety Data Sheets (SDSs) for new products, promoting health and safety compliance.
• Monitor and Communicate Permit Status: Prepare and deliver detailed monthly reports on the status of permit applications to inform Compliance Management and facilitate strategic decision-making.
• Adapt to Evolving Business Needs: Flexibly perform additional regulatory activities as dictated by business demands, ensuring continuous alignment with regulatory advancements.


Direct Manager Direct Reports:

The Regulatory Compliance Specialist will report directly to the Regulatory Compliance Manager. This position does not have any direct reports. The Regulatory Compliance Specialist will collaborate closely with various branch operational staff and other key internal stakeholders to ensure compliance with regulatory requirements.


Travel Requirements:

The Regulatory Compliance Specialist is required to undertake occasional travel to various branch locations for compliance audits and coordination, not exceeding 10% of the work schedule, to ensure alignment with regulatory standards and operational objectives.


Physical Requirements:

The Regulatory Compliance Specialist position is predominantly office-based, requiring the ability to work at a computer workstation for extended periods. The role involves frequent communication with colleagues and external partners, necessitating clear verbal and written communication skills. The position may require occasional movement within the office to attend meetings, access files, and coordinate with different departments. The ability to handle physical documents for filing and review purposes is essential. Minimum Qualifications:

• Bachelor’s Degree strongly preferred, with emphasis on regulatory affairs, environmental science, business administration, or a related field.
• Proven work experience within regulatory compliance or a similar environment.
• Prior experience in independently managing tasks and responsibilities with minimal supervision.
• Previous exposure to licensing, permitting, or regulatory reporting processes highly advantageous.
• Advanced proficiency in Microsoft Office Suite, especially Excel, to compile, analyze, and present data effectively.
• Familiarity with Sara Title II, CA CERS, and other regulatory reporting tools is considered beneficial.
• Exceptional organizational skills, demonstrating a capability to manage multiple priorities and ensure timely completion of tasks.
• Strong ability to work within a fast-paced and diverse organizational setting.
• Effective communication skills to liaise seamlessly between departments, such as Compliance Managers, Accounts Payable, and Purchasing.
• Attention to detail with an emphasis on accuracy in reporting and documentation processes.

• Advanced Regulatory Knowledge: Extensive understanding of local, state, and federal regulations related to licensing, permits, and environmental compliance. Certification in regulatory affairs is highly desirable.

Minimum Education:

High school diploma or equivalent is required.


Preferred Education:

A Bachelor's Degree in a relevant field such as Environmental Science, Business Administration, or a related discipline is preferred to enhance strategic compliance initiatives.


Minimum Years Of Work Experience:

A minimum of three years of professional experience in a regulatory compliance capacity is required for consideration for the Regulatory Compliance Specialist position.


Certifications:

• Certified Regulatory Compliance Manager (CRCM) preferred.
• Completion of relevant regulatory compliance certification programs is advantageous.
