About the role:
The Receptionist, you will be the first point of contact for our office, managing the reception area while also overseeing key operational and maintenance activities for the site. This hybrid role is crucial for creating a seamless, professional, and welcoming experience for all clients, employees, and visitors, while ensuring the workplace is safe, efficient, and well-maintained. Reporting to the Facilities Manager, you will provide both front-of-house support and back-end operational coordination.
What this job involves:
Reception & Visitor Management:
Manage the telephone console, receiving and directing all incoming calls professionally.
Receive, greet, and guide all visitors, coordinating with employees to ensure a seamless welcome experience.
Maintain a clean, presentable, and professional front office and reception area at all times.
Administer all bookings for meeting and conference rooms.
Facilities & Maintenance Coordination:
Proactively engage with stakeholders to ensure on-site expectations are met and the office is maintained in good working condition.
Provide a Helpdesk service for employees, escalating calls to the Facilities Manager as needed and ensuring all maintenance work orders are completed on time and to a high standard.
Ensure all working environments meet requisite Workplace Health & Safety (WHS) standards.
Monitor pantries, mailrooms, and common areas to ensure they are clean and tidy.
Administrative & Vendor Support:
Distribute internal and external mail and coordinate with courier companies for outbound shipments.
Manage office supplies, maintain records for service orders, and assist in invoice processing.
Ensure vendor procurement processes comply with client guidelines and that financial processes are followed.
Assist with general administrative activities, including coordinating the printing of business cards and supporting local office events.
Contribute to the Monthly Report by providing relevant operational information.
Sound like you? To apply you will have:
University Degree with strong interpersonal skills;
Good at documentation, and MS software;
Over 2 years’ experience in managing facilities preferred;
Good command of spoken and written English and Chinese languages.
