Key Responsibilities:
The Project Technical Assistant will provide direct administrative, logistical, and technical support in the day-to-day implementation of the ECO-YOUTH Project. This role ensures effective coordination with the project team, AP teams in covered areas, with youth participants, training institutions, and partner organizations, and contributes to the smooth delivery of program activities and documentation of results.
The Technical Assistant will support both program pathways (Green Careers and Green Enterprise) and will be instrumental in preparing and supporting activity materials, monitoring participant progress, and maintaining records critical to project reporting and evaluation.
Technical and Administrative Support
- Provide day-to-day technical and administrative assistance to the Project Coordinator and Project Manager in implementing project activities.
- Support the organization and logistics of key activities including (a) ECO-YOUTH 3-Day Launch Forum, (b) Training sessions and workshops (career skills, TESDA courses, entrepreneurship development), (c) Internship and on-the-job training placements, (d) Business incubation and mentorship sessions, and (e) Summit and job fair events.
- Prepare and distribute training materials, attendance sheets, certificates, and documentation kits.
- Together with the project and AP teams, assist in coordinating with training institutions, companies, and partner organizations regarding schedules, venues, and participant arrangements.
Documentation and Data Management
- Maintain updated participant databases, training attendance, and progress tracking sheets.
- Collect and encode data related to participant profiles, training results, and employment/enterprise outcomes.
- Prepare and organize photo documentation, activity highlights, and minutes of meetings.
- Support the preparation of periodic project reports, presentations, and updates for internal and external audiences.
Monitoring and Evaluation Support
- Assist in collecting monitoring data and participant feedback after trainings, internships, or enterprise activities.
- Support the implementation of pre- and post-assessments, surveys, or focus group discussions.
- Help track project indicators related to training completion, employment, and enterprise start-up.
- Contribute to preparing success stories and visual documentation for project learning and communication.
Logistics and Procurement
- Support logistics planning and preparation for field activities, meetings, and community events.
- Assist in processing purchase requests, payment requests, and liquidation documents following organizational policies.
- Ensure timely preparation and delivery of materials, supplies, and equipment needed for activities.
- Coordinate with the Finance and Admin teams to ensure proper documentation and accountability of project resources.
Organizational
- Regularly attend or lead in the Corporate and Team devotion and prayer as part of staff spiritual nurturing.
- Participate in meetings and events such as team and organizational meetings, as necessary.
- Timely submission of Performance Agreements that include Individual Learning and Development Plan and staff spiritual nurture plan, and Annual Performance Reviews
- Support emergency response, as needed.
Qualifications:
- Bachelor’s degree in Development Studies, Environmental Science, Business Administration, Education, Communications, or related fields.
- A diploma-level graduate with relevant experience may also be considered.
- At least 1–2 years of experience providing administrative, coordination, or technical support in development or livelihood programs.
- Experience in youth development, training coordination, or community-based projects is an advantage.
- Background in environment, entrepreneurship, or skills training programs is preferred.
- Strong organizational and coordination skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with online collaboration tools.
- Detail-oriented, with the ability to manage multiple tasks efficiently.
- Strong interpersonal skills and the ability to work effectively with youth and community members.
- Team player with sensitivity to diverse backgrounds.
- Good written and verbal communication abilities (English and Filipino).
