We are seeking a highly organized and experienced Project Manager reporting to the Chief of Staff. 

Responsibilities will include but are not limited to

Project Management

• Partner with the Chief of Staff and CEO Office team to support executive priorities and strategic initiatives.

• Plan and execute high-level meetings, events, and projects from conception through completion.

• Establish project timelines, allocate resources, and coordinate deliverables across departments, external partners, and stakeholders.

• Handle ad hoc projects and manage logistics for but not limited to executive meetings.

• Manage customer-related logistics, including ordering corporate gifts and coordinating shipments

Meetings & Event Management

• Coordinate with the CEO’s office on managing, scheduling and active participation in key engagements such as Intel Employee Forum, Fireside chats, speaking engagements, and Conferences

• Oversee all event logistics including venue, production, content development, agendas, catering, AV, décor, and transportation.

• Prepare and manage event budgets, track expenses, and ensure cost-effectiveness.

• Negotiate and manage vendor contracts (hotels, caterers, AV, transportation, etc.) to deliver high-quality outcomes.

Travel Management

• Pre-plan and coordinate with the CEO’s office on annual global travel schedule for conferences, annual meetings, and speaking engagements.

• Handle executive calendaring, registration, and all complex travel arrangements.

• Review and manage private jet leases, work with third party vendors to ensure flights are scheduled to the designated Fix Base Operators (FBO) in a timely manner.

• Oversee all ground transportation, including complex car service schedules, with close coordination with the Security team to ensure executive safety.

• Partner with internal Security and external providers to ensure travel security protocols are met for all domestic and international trips.

• Handle travel-related documentation, including visas, passports, and medical requirements.

• Monitor and manage travel budgets while ensuring compliance with company policies and aviation regulations.

Qualifications:

• Associate degree with 10+ years of relevant experience.

• Minimum 5 years of project management experience with demonstrated success in complex initiatives.

• Experience in event planning and travel management (corporate or executive-level preferred).

• Experience working in a global technology company.

• High level of professionalism, discretion, and ability to manage confidential information.

Annual Salary Range for jobs which could be performed in the US: $116,850.00-164,960.00 USD
