Job Description Summary:
The Program Coordinator provides integrated support across student recruitment engagement, enrollment transition, student success coordination, and program operations primarily for the BHS, MHA, and MFT programs within the College of Health Sciences. The position will also provide in-person support to the MBS for select events (twice annually) as well as BHS, MHA, and MFT (once annually).
This position operates in a dual-capacity model that blends concierge-style student engagement with internal program coordination and operational support. The role serves as a primary point of contact for prospective, admitted, and continuing students while working collaboratively with Admissions, Marketing, faculty, and program leadership to support enrollment strategy and student success outcomes.
This position does not perform centralized Admissions processing functions but provides program-level subject matter expertise, applicant engagement support, and enrollment transition coordination.
Duties and Responsibilities:

I. Program Operations & Administration — 40–45%
- Support day-to-day operational functions across BHS, MHA, and MFT programs
- Maintain program student records systems and ensure data accuracy and confidentiality
- Track enrollment, retention, and outcomes data for program planning and accreditation
- Support catalog, handbook, website, and program materials updates
- Coordinate student onboarding, orientation, and program transition activities
- Document and improve internal program workflows and operational processes
- Coordinate logistics for program meetings, events, and training activities
II. Enrollment Coordination, Student Advising & Student Success — 30–35%
- Advise prospective, admitted, and continuing students on:
- Program requirements
- Course sequencing
- Registration processes
- Program policies
- Support admitted student onboarding and transition to enrolled status
- Serve as liaison between program leadership, faculty, and Admissions regarding student enrollment matters
- Track enrollment across terms and maintain accurate student records
- Connect students to institutional academic and support services
- Support alumni engagement tracking and communication
III. Applicant Review Support & Enrollment Transition — 10–15%
- Review applications for completeness and prerequisite alignment
- Support GPA review and prerequisite verification within established criteria
- Maintain applicant data and status updates in institutional systems
- Coordinate communication and transition from applicant to enrolled student status
IV. Outreach, Recruitment Support & Marketing Collaboration — 10–15%
- Serve as program representative for prospective students and partners
- Support information sessions, webinars, and student appointments
- Provide accurate program-specific admissions and career outcome guidance
- Provide field intelligence and enrollment trend insights to Marketing
- Contribute content for program marketing and communications materials
V. Compliance, Data Security & Institutional Support — 5–10%
- Ensure FERPA compliance and data confidentiality
- Support accreditation data preparation and documentation
- Participate in enrollment planning and forecasting
- Support cross-functional collaboration with Admissions, Marketing, Registrar, and Student Success
VI. Graduation and Special In-Person Events 1-2%
- In person support participation at select events
Minimum Qualifications
- Bachelor’s degree required (health sciences, business, psychology, education, or related field)
- Master’s degree preferred
- 2+ years of experience in higher education program operations, enrollment support, or student services preferred
- Demonstrated ability to work with diverse student populations
- Strong communication, organization, and data analysis skills
- 2+ years of experience working with student information systems preferred
Preferred Qualifications
- 2+ years of experience supporting graduate or professional programs
- 1+ years of experience with student lifecycle management
- Demonstrated experience collaborating with marketing and recruitment teams
- 1+ years of experience supporting accreditation or compliance processes
Work Environment:
Hybrid position: This is a hybrid position, and in-office attendance will vary depending on meetings, events, and other needs.
Collaboration with a multidisciplinary team in a dynamic academic setting.
