The Production Executive role works closely with Manager of Production and Director of Production, APAC in delivering successful productions.  This role supports the management of auditions, contracting, onboarding, vendor coordination, immigration processes event execution and budget tracking.

This role is based in the Production office with regular travel and time in the theatre, including work out of office hours.

Areas of responsibility:

Finance/Budget:

  • Assist the Manager of Production in budget tracking for Productions and to ensure that overspend or additional/unbudgeted costs are flagged to Director, Production APAC and Manager of Finance.
  • Under the guidance of Manager of Production, assist in preparation of budget or finance reports or presentations as needed.

Contracting/Onboarding:

  • Following the negotiation of employment terms, prepare employment contracts for cast, crew and touring musicians.
  • Assist with casual crew contracting both for the pre-production and operating period of the production.
  • Oversee the process of signing and records management of contracts with the Production Coordinator.
  • Day-to-day query management with performers agents and performers as required.
  • Maintain knowledge of relevant certified agreements and employment conditions including but not limited to National Employment standards, Live Performance Award and Performer’s Collective Agreement.
  • Work with Production Coordinator and HR on any required onboarding tasks and documentation.

Child Employment:

  • Research and keep up to date with Child Employment regulations in each state and ensure they are met for the safe employment of children in Disney productions and that all required reporting is undertaken in a timely manner.

Auditions:

  • Manage all operational aspects of auditions sourcing staff (readers, stage management, pianists), venue bookings, liaising with agents and talent, scheduling of, set up and administrate audition days.

Vendor Management:

  • After contract negotiation, manage the day-to-day operational management of vendors for the Production.

Immigration:

  • Accountable for managing all immigration requirements for sponsored workers on the productions.
  • Ensure all paperwork for visa applications is prepared and submitted.
  • Ensure all relocations run smoothly.
  • Keep up to date with all immigrations requirements and visa processing times.

Marketing, PR & CSR:

  • As requested, conduct market and budget research with regard to future seasons and cities of the productions.
  • Manage the operational execution of event and function logistics, including opening night parties, red carpet events, and invitation and gift lists.
  • Provide support on CSR, PR and Marketing related activity.
  • Support the ticketing team with the booking of House seats
  • Under the direction of the Manager of Production, manage the editing, proofing & approval of DTP programs.

Other:

  • Support the Company Management team during transfer and other peak periods.
  • Other projects assigned.
  • Provide flexibility in work hours in peak periods and accessibility from time-to-time outside work hours.
  • Some interstate travel and weekend work required.

Ideal experience:

  • Minimum of three years’ experience in the theatre industry with at least two years at Production Executive level.
  • Excellent time management and organisation skills to ensure all priorities and multiple deadlines are met
  • Ability to prioritise and multi-task in a hectic work environment with competing demands
  • Effective and discrete communicator, able to manage confidential information
  • Pro-active, a self-starter who is able to work without daily supervision
  • Strong Office skills including Excel, Word and PowerPoint
  • High attention to detail and accuracy
  • Logical and lateral thinker
  • A strong team player who contributes to an environment that embraces innovation
  • Strong communication skills including written, verbal and interpersonal
  • Integrity and maintains a professional code of conduct
  • Honest and straightforward when working with others
