Program Overview
The British Council's SoCreative platform offers free online courses and community partnerships to help creative entrepreneurs develop skills, launch businesses, and scale enterprises across Africa. Through this partnership, ALU serves as the lead intermediary partner for the British Council in Rwanda, delivering the SoCreative E-Learning Programme to at least 400 learners across four cohorts (March 2026 - March 2027).
ABOUT THE ROLE
The SoCreative Project Coordinator will provide essential operational and administrative support to deliver the SoCreative × ALU creative entrepreneurship programme. Working under the supervision of the Academic Manager, this part-time role focuses on day-to-day coordination activities, including learner support, facilitator liaison, event logistics, data tracking, and administrative documentation to ensure smooth programme implementation across all four cohorts.

Responsibilities in this role include:
1. Learner Support & Engagement (30%)
- Serve as the first point of contact for learner inquiries, technical issues, and general programme questions
- Conduct bi-weekly learner check-ins to monitor progress and identify students who need additional support
- Manage learner WhatsApp groups and online forums to facilitate peer-to-peer learning and community building
- Coordinate learner incentive activities such as quizzes, competitions, and showcases as directed by the managers.
- Send reminders and communications about upcoming sessions, assignments, and programme milestones
- Follow up with absent or disengaged learners to encourage re-engagement
2. Facilitator & Session Coordination both online and in-person (25%)
- Liaise with facilitators to confirm session schedules, room bookings, and material preparation
- Ensure learning spaces are set up with necessary equipment (projectors, whiteboards, materials) before each session.
- Collect and file weekly attendance sheets and participation records from facilitators
- Troubleshoot logistical issues during sessions (technical problems, last-minute room changes, etc.)
- Coordinate handover between facilitators for weeks 1-3 and weeks 4-6 of each cohort
- Distribute learning materials and resources to facilitators as needed
3. Recruitment & Enrollment Support (15%)
- Assist in executing learner recruitment campaigns across digital and campus channels
- Process learner applications, maintain enrollment database, and communicate with applicants about acceptance status
- Provide logistical support for recruitment webinars including platform setup, participant registration, and follow-up
- Create and distribute marketing materials (flyers, social media graphics, email templates) as directed
- Coordinate outreach to creative hubs and community organizations to promote upcoming cohorts
4. Event Logistics & Coordination (15%)
- Provide logistical support for industry networking events including venue arrangements, catering, and participant invitations
- Coordinate graduation event logistics such as certificate printing, venue setup, guest speakers, and attendee registration
- Manage event photography/videography arrangements to document programme activities
- Send event invitations, confirmations, and reminder communications to participants and guests
- Prepare event materials including name tags, programmes, signage, and handouts
5. Data Tracking & Reporting Support (10%)
- Maintain accurate student attendance records in the tracking scorecard system
- Update learner progress dashboards with completion rates, participation scores, and module status
- Compile weekly and monthly data for Project reports to British Council
- Collect and organize learner feedback, testimonials, and success stories for programme documentation
- Maintain organized digital filing system for all programme documents, reports, and communications
6. Administrative & Operations Support (5%)
- Process procurement requests for learning materials, office supplies, and event needs within approved budget
- Maintain inventory of programme materials and ensure adequate supplies for upcoming sessions
- Schedule and coordinate meetings cross functional stakeholders.
- Prepare meeting agendas, take minutes, and distribute action items as needed
- Support general administrative tasks to ensure smooth programme operations
REQUIRED QUALIFICATIONS
Education & Experience
- Bachelor's degree in Business Administration, Education, Communications, Arts Management, or related field
- 1-3 years of experience in project coordination, administrative support, or event management
- Experience working with youth programmes, creative industries, or entrepreneurship initiatives is an advantage
Technical Skills
- Working knowledge of Google Workspace and Microsoft Office Suite, including spreadsheet management, document preparation, and presentation development.
- Comfortable using digital communication tools (WhatsApp Business, Zoom, email platforms)
- Basic understanding of e-learning platforms and online course management
- Strong data entry and record-keeping skills with attention to detail
- Ability to create basic marketing materials and social media content
