Job Description – People Advisor – People Services & Operations (Rewards & Administrative Support)

Role Overview
We are looking for a highly organized and proactive People Advisor (PA) to join the People Services & Operations team at APM Terminals Algeciras. This role will provide administrative and operational support, with a strong focus on Rewards, personnel administration, reporting, and coordination across key HR processes.
The ideal candidate is detail-oriented, autonomous within established guidelines, and comfortable working with sensitive data and multiple internal stakeholders.
Key Responsibilities
1. Rewards Support
- Assist in the management and deployment of compensation and benefits programs.
- Prepare and maintain documentation related to fixed and variable compensation, allowances, and benefits.
- Support annual Rewards cycles (merit, bonus, salary reviews) including data validation and coordination.
- Maintain accurate Rewards-related data in HR systems and ensure compliance with internal guidelines.
2. Reporting & HR Analytics
- Prepare periodic reports and dashboards related to headcount, employee data, KPIs, and operational metrics.
- Support internal audits and compliance requirements through accurate documentation and data management.
- Conduct basic data checks and ensure quality and consistency across HR reports.
3. Payroll Administrative Support
- Collect and validate payroll-relevant data (new hires, terminations, leave, allowances, changes).
- Ensure timely submission of payroll information and maintain appropriate filing and documentation.
- Collaborate with Payroll and external partners to ensure smooth operations.
4. Personnel Management & People Services
- Maintain employee records, files, and HR information systems ensuring accuracy and confidentiality.
- Prepare HR documentation: contracts, amendments, employer letters, and employee communications.
- Support core processes such as onboarding, offboarding, internal moves, leave management, and employee inquiries.
- Manage the People Services mailbox and resolve queries within defined SLAs.
5. General Coordination & Team Support
- Organize meetings, calendars, documentation, and logistics for the People Services & Rewards team.
- Prepare presentations, communications, and internal briefings.
- Coordinate with other functions such as Finance, Legal, HSE, and Operations.
- Support continuous improvement initiatives, including workflow optimization and process automation.
Required Qualifications & Experience
Education & Experience
- Vocational, technical, or university degree in Administration, HR, Business, or related fields.
- 1–2 years of experience in administrative roles within HR, Rewards, Payroll, People Operations or HR Analytics roles.
- Solid understanding of HR processes, documentation, and employee lifecycle management.
Key Competencies
- Strong organizational skills and attention to detail.
- Ability to work independently within established procedures and guidelines.
- Excellent written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Advanced analytical skills for handling data and reports
- Advanced in data analysis tools (Power BI or similar)
- Proficiency in MS Office (Excel, Outlook, PowerPoint).
- Proactivity and focus on continuous improvement
- Practical knowledge and application of Lean methodology in HR processes (desirable)

- Spanish: Fluent
- English: B2 (C1 desirable)
