About the Role: The IP Operations team is seeking a highly motivated and versatile Operations Specialist to play a critical role in managing efficiency, integrity, and strategic capabilities of our intellectual property operations processes. This broad role will lead and partner with cross-functional teams to develop a smooth functioning IP ecosystem, providing resource allocation plans, guidelines, assessment and process accountabilities.
One main focus of this position will focus on enhancing IP operations through strategic use of technology and AI. The ideal candidate will identify opportunities for automation, cost savings, and process optimization while partnering with IP attorneys and stakeholders to deliver impactful projects. In addition to being a proactive problem-solver with a strong commitment to operational excellence and continuous improvement.
Key Responsibilities:
- Financial and Vendor Management
- Develop the necessary metrics to assess IP’s performance utilizing advanced statistical and financial modeling techniques. In addition to overseeing all aspects of IP financial management, proactively recommend and implement strategic initiatives to address performance gaps in relation to IP’s budget.
- Establish new and manage robust vendor relationships through careful analysis and awareness of emerging trends. Optimize the value provided by vendors to ensure the IP team fully utilizes all available resources and opportunities to improve productivity. Ensure every beneficial offering from the vendor is identified and effectively leveraged.
- Drive the creation and execution of a cohesive procurement strategy that incorporates best practices for cyber security, Third Party Risk Assessment (TPRA) process and efficient process management. Establish collaboration between Intellectual Property (IP) and Global Indirect Procurement (GIP) teams to improve workflow efficiency and clarify responsibilities, supporting a clear transition of contract management duties. This approach aims to reinforce operational effectiveness, ensure compliance, and foster cooperative resource management across IP-related functions.
- AI Integration and Strategy:
- Develop and implement strategies for leveraging AI within IP operations.
- Identify areas where AI can reduce costs, automate tasks, and improve efficiency.
- Stay current on AI tools and trends relevant to IP and legal workflows.
- Integrate AI solutions into IP workflows to improve efficiency and reduce costs.
- Analyze current processes and recommend changes to eliminate low-value work.
- Lead projects that align with organizational goals for innovation and operational excellence.
- Monitor and report on savings and efficiency metrics.
- Inter Company Agreements:
- Manage the governance and strategic approaches for inter-company IP agreements, ensuring compliance with legal requirements, risk mitigation, and alignment with HP's business objectives
- Operational Efficiency & Cost Reduction
- Partner with IP attorneys to assess workflows and identify tasks that can be eliminated, automated, or deprioritized.
- Drive initiatives focused on cost savings without compromising quality or compliance.
- Create measurable KPIs for efficiency improvements and cost reductions.
- Project Management and Leadership
- Lead cross-functional projects aimed at modernizing IP processes.
- Collaborate with internal stakeholders to ensure successful adoption of AI-driven solutions.
- Independently lead and drive a wide range of operational projects from inception through completion, ensuring effective planning, execution, and cross-functional collaboration with minimal supervision as needed.
Qualifications:
- Bachelor's degree in Business Administration, Operations Management, Information Systems, Finance, or a related field experience.
- Experience with AI tools and their application in legal or IP contexts.
- Strong project management and change management capabilities.
- Ability to collaborate with attorneys and technical teams.
- Experience in an operations role or project coordination/management.
- Strong analytical and problem-solving skills with a keen eye for detail.
- Excellent organizational and project management abilities, with the capacity to manage multiple priorities simultaneously.
- Proficiency in data management and reporting tools (e.g., Excel, Power BI, Tableau).
- Familiarity with IP management systems or legal technology platforms is a plus.
- Exceptional communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
- Proactive, self-starter with a strong work ethic and commitment to continuous learning.
