Job Description Summary

Responsible for the coordination and distribution of the work orders issued through the CMMS system (Archibus). Support the main Planner/Scheduler and maintenance department by providing the administrative support needed around CMMS management.

Job Description

Essential Duties and Responsibilities include the following. Other duties may be assigned, Including but not limited to:

• Operating computer maintenance management system.

• Generate and distribute maintenance work orders to Labor Groups as required

• Process Maintenance Work Orders –Issue routine and corrective work orders, track to ensure timely completion, close out work orders and bring forward outstanding items or anomalies as required.

• Coordinate Job Plan Amendments – Receive job plan updates, input changes into the system, issue and communicate changes to field teams.

• Purchase parts for repair of equipment; Maintain spare parts inventory; Develop preventive and predictive maintenance schedules for equipment;

• Track and record production downtime related to equipment problems;

• Generate reports and graphs as requested by management; Maintain complete and detailed record keeping.

• Provide administrative support to Maintenance Staff including but not limited to: correspondence generation and Maximo program support to the field teams. • Conduct Training and Information Sessions - Provide training and or information on the CMMS program for maintenance team members where and if necessary.

• Perform Administrative Duties - Including faxing, photo-copying and providing overall CMMS program support to the field teams.

Other duties assigned by management:

• Typing 30WPM, 10-Key, Personal Computer: Word, Excel, Database, Presentations; General Office Equipment, Maintenance and parts purchasing

• 2 yrs. exp. w/ CMMS preferred

• Multitasking

Skills and Qualification:

• Post-secondary education or a combination of related work experience required.

• Strong computer skills.

• Demonstrated working experience with Microsoft

Office applications:

• Excellent Microsoft Excel skills, with emphasis in reporting.

• Strong organizational skills.

• Must be able to multi-task and prioritize, with demonstrated experience working with deadlines.

• Possess strong customer service skills.

• Detail and process oriented.

Education (Preferred):

• A minimum of 5+ years’ experience in facilities that require strict planning and scheduling protocols for operations and maintenance.

• High School Diploma required, and some college preferred.

• Prior CMMS/Archibus experience and associated software experience required

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $25.50 - $30.00
