Job Summary
The Operations Associate provides consistent administrative support to the ECMC Foundation team in the Washington D.C. office and support as needed to the broader Foundation team. This role will work independently and with the Operations team to ensure the Foundation team has the necessary support and resources, and will work to optimize office operations, enhance engagement, and contribute to ECMC Foundation's objectives.
Essential Duties and Responsibilities
- Provide operational and administrative support to local and visiting employees, guests, and vendors
- Provide administrative support to local and visiting executives, as needed
- Maintain flexibility in the daily schedule to ensure proper levels support, whether the need is in person or virtual
- Partner with key members of the broader organization to deliver the appropriate support in a variety of spaces (e.g., security access, building requests, parking arrangements, IT support, etc.)
- Maintain organization within the office; manage the delivery and coordination of projects including stocking and refilling supplies, managing food delivery logistics, handling mail and packages, etc.
- Assist in the planning, execution, and expense tracking for events and/or meetings
- Schedule a variety of meetings and events to support the activities in the office and virtually; support ad-hoc scheduling needs and meeting preparation requests as requested
- Support onboarding tasks for new employees, including organizing office tours, ensuring proper desk set-up, scheduling necessary connections, etc.
- Perform other duties and responsibilities as assigned
Required Qualifications
- High School diploma or GED
- 2+ years of experience in office administration or operations
- Proficient in Microsoft Suite (Word, PowerPoint, Excel), SharePoint, Asana, and virtual meeting tools (e.g., MS Teams)
- Strong organizational skills and attention to detail
- Effective time management and ability to meet deadlines
- Demonstrated ability to communicate effectively and keep stakeholders informed of progress and/or challenges
- Ability to handle confidential information and use discretion in applicable situations.
- Ability to provide service and support in a hybrid office environment
- Occasional travel (<10%)
Preferred Qualifications
- Associate’s, bachelor’s degree or equivalent experience
- Experience working in a Foundation

Hourly pay range for this position is $31.00-$35.50 per hour. Actual base pay may vary based upon, but not limited to, relevant experience, time in role, peer and market data, prior performance, business sector and geographic location.
