PATH has unparalleled expertise and experience in the development of new tools and strategies for malaria elimination and has the potential to become an acknowledged leader in accelerating efforts towards malaria elimination and global eradication. PATH’s Center for Malaria Control and Elimination (CMCE) working with PATH staff and strategic partners to coordinate expertise and programming and maximize our collective impact toward malaria elimination.
PATH seeks an Operations and Admin Associate for the USG-funded Reaching every at-risk community and household with malaria services (REACH Malaria) global project. REACH aims to provide implementation support services and technical assistance to countries to accelerate progress in comprehensive delivery of facility and community-based malaria services, including malaria case management, prevention of malaria in pregnancy (MiP), seasonal malaria chemoprevention (SMC), health systems strengthening, data collection and use for service delivery, and other malaria prevention interventions.
The Operations and Admin Associate will report to the Finance Manager and will provide logistical and administrative support to help introduce and implement malaria support services, and coordinate with relevant ministries of health, PATH technical teams in region and other implementing partners.
Responsibilities:
Operations Support
Collect, compile, and scan documentation for financial transactions to be shared with the finance team in Dakar, ensuring compliance with PATH and donor policies.
Assist in planning and coordinating the full range of logistics for workshops, meetings, and fieldwork exercises.
Develop detailed budgets for activities in collaboration with the regional coordinator; prepare financial reports for workshops, meetings, and fieldwork exercises.
Initiate requisitions in BusinessWorld, support purchase order development, and follow up with the finance and accounting team to ensure that goods are received and vendor invoices are paid in a timely manner.
Coordinate with the Operations Officer to plan and monitor the driver movements and fleet activities according to the program’s needs (field missions, meetings, delivery of documents, etc.).
Support the regional technical team in logistics management of SMC and PEACODOM tools and materials.
Support the driver in preparing logistics for missions (fuel, itineraries, accommodation if required).
Facilitate communication between the driver, the program team, and administration to ensure smooth travel planning.
Maintain office supply and equipment inventory.
Administrative Support
Assist and provide technical support for planned and unplanned events and meetings.
Collaborate with the Regional Coordinator and Finance team to provide support in the implementation of projects as defined in the work plan. Participate in activities during and after meetings, such as setting up conferences and online calls, taking minutes, and assisting with follow-up activities.
Coordinate with project teams to ensure smooth coordination of administrative tasks.
Coordinate travel arrangements for team members and consultants; Monitor team member travel schedules, including support for changing arrangements during travel and follow-up activities such as reimbursement requests.
Ensure the organization and transmission of reports on periodic coordination meetings of regional offices, technical and operational teams.
Take meeting notes and share action points with relevant staff
Ensure regular follow-up on agreed actions and report progress to the coordinator and the Finance team.
Participate in the process of monitoring the implementation of key project tasks and recommendations, with Support documentation of success stories, lessons learned, and best practice focus on operational aspects.
Maintain accurate and up-to-date program files and databases.
Collect, compile, and verify field data for program reporting, working closely with the districts.
Serve a back-up and resource person for other program assistants.
Perform any other relevant duties as may be assigned by the supervisor from time to time.
Required skills and experience:
Degree in Accounting, Management, Business Administration, or related field with at least 3 years of experience
Ability to work in multi-site project team with minimal supervision, including demonstrated history of being a proactive problem solver who can work effectively under deadlines
Excellent attention to detail and results focus while able to adapt to changing priorities
Strong interpersonal and organizational skills
Ability to organize and implement events for large groups and international guests
Excellent and demonstrable organization, communication, and writing skills
Ability to manage time efficiently and work independently
Experience working with International NGOs and donors is preferred
Fluency in written and oral French is required, and English will be an added advantage.
Ability and willingness to travel
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
