Iron Mountain is seeking a motivated and organized Operations Administrative Specialist to join our Facility Management and Operations team. In this role, you will be responsible for streamlining internal communication, coordinating facility maintenance requests with external providers, and providing essential administrative support to ensure seamless office and project operations.
Our team is the central hub of office efficiency, dedicated to maintaining a high-standard work environment and supporting cross-functional project success through meticulous coordination.
In this role, you will:
Manage the end-to-end facility fault reporting process by logging internal requirements and routing them to external Facility Management providers to ensure timely repairs and maintenance.
Collaborate with project managers and external vendors to collect data, request standard quotes, and maintain master data systems to achieve efficient project delivery.
Ensure compliance with organizational standards by performing completeness checks on vendor documentation and maintaining accurate inspection logs and maintenance records.
The ideal candidate will have:
2+ years of experience in an administrative support or office coordination role.
Strong knowledge of general office organization, vendor data maintenance, and standardized reporting procedures.
Proven ability in multitasking and stakeholder communication, specifically in managing high volumes of documentation and scheduling.
