Job Summary: The Tennessee Valley Healthcare System Geriatric Research, Education and Clinical Center (GRECC) is hosted by the Tennessee Valley Healthcare System (TVHS) in VISN 9 and is affiliated with Vanderbilt University in Nashville, TN. The primary function of the Administrative Officer (AO) is to implement GRECC program requirements, serve as administrative and programs coordinator of the Research, Education and Clinical components of the GRECC and act as liaison to the university affiliate.

Major Duties:

  • Duties included but are not limited to: ADMINISTRATION AND MANAGEMENT: Initiates and prepares important agreements and ensures they align with policies and procedures crucial for leveraging specialized services. Preparing and coordinating recurring and periodic reports for the GRECC. Designing and implementing indicators, processes, and critical pathways for monitoring and evaluating research projects, educational programs, patient-centered outcomes and organization performance. Preparing the annual budget. Coordinating space needs. Ensuring cost effective support. ACCOUNTABILITY: Monitoring performance measures specific to the service and reporting the information to service chiefs and program managers. Ensuring timely preparation and submission of all required documentation, reports, and performance evaluations. Overseeing the day-to-day activities of the administrative support staff and ensuring that staff are meeting workload requirements, faculty and staff personnel management, HR issues, onboarding, and timecard processing. Ensuring that the annual GRECC budget is prepared accurately and timely, and funds are appropriately managed.. Ensuring data and document confidentiality and compliance with Privacy Act and training requirements. ATTENTION TO DETAIL: Collecting data from multiple sources, ensuring accurate summaries for reporting, tracking, and reviews. Conducting thorough evaluations of service planning activities and implementing effective management systems. Reviewing all workload statistics and functions, ensuring that the Service's activities are monitored and reported on accurately. Performing detailed quality assessments and ensuring accurate provider-specific quality data reporting. CLIENT ORIENTATION: Communicates effectively with GRECC staff, VACO, TVHS leadership, and the university affiliate to synchronize efforts. Participates in and leads relevant committees to align GRECC's goals with broader organizational objectives. Ensuring timely responses to concerns in collaboration with other services. Identifying educational needs and coordinating appropriate training for staff to enhance service delivery. Promoting and participating in patient-centered care and cultural transformation initiatives. CREATIVE THINKING: Developing constructive approaches to solve identified problems and concerns within the service. Innovatively conducting statistical analyses and establishing tracking systems to identify trends and improvement areas. Creating and implementing new information management systems that enhance organizational performance. Designing new methods for the efficient use of resources and optimizing service delivery. Implementing new indicators and critical pathways that promote interdisciplinary efforts to improve patient care outcomes. ORGANIZATIONAL AWARENESS: Aligning the roles and activities of the Service with the mission and functions of TVHS and the Veterans Health Administration. Understanding and implementing the policies, procedures, and regulations relevant to the GRECC service. Effectively working with various departments and services within TVHS to achieve cohesive operational outcomes. Ensuring compliance with health care regulations, Joint Commission standards, and other external regulatory requirements. Qualifications: To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/24/2026.Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-12 position you must have served 52 weeks at the GS-11. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
