Office and Property Administrator (Shaw Tower)

Lendlease Singapore is seeking an Office and Property Administrator to support the operations of a new Grade A commercial office building, Shaw Tower. This role involves managing office and property administration functions, supporting procurement processes, and assisting in implementing operational systems and procedures to ensure smooth day-to-day operations. 
 

Responsibilities:

  • Assist with day to day office operations to ensure a smooth and organised working environment 

  • Provide administrative and secretarial support to stakeholders 

  • Manage calls, visitors, emails, enquiries, and respond to requests/feedback 

  • Oversee and maintain office supplies, staff amenities including budget tracking 

  • Coordinate staff matters and events 

  • Prepare and collate simple reports, presentations, and tracking documents 

  • Maintain and update stakeholder contact records 

  • Prepare and distribute documents (e.g. minutes, letters, circulars) 

  • Support the Property team with preparation and issuance of Services Contracts / Purchase Orders / Work Orders / Letter of Awards;  

  • Assist with the processing of purchase orders, invoices and standard documentation, including follow up with subcontractor / vendor’s on reports, invoices, and payments and tracking of expenses; 

  • Support monitoring of property management services, training records, warranties, certifications  

  • Coordinate tenant/manager requests, maintenance schedules, and supply needs 

  • Manage courier and mail services 

  • Ensure proper documentation and adherence to SOPs 

  • Support the Centre Manager on procurement / insurance / contract administration requirements including required documentation  

  • Arrange meetings, video conferences, reservations, and travel 

  • Perform filing, printing, and document management 

  • Support other duties as assigned 

Requirements 

  • Minimum GCE O-Level or equivalent  

  • At least 2–3 years of relevant experience  

  • Service-oriented with good interpersonal skills  

  • Proficient in MS Office applications  

  • Able to work in a fast-paced environment and meet deadlines  

  • Able to work independently and collaboratively with stakeholders at all levels  

  • Strong written and verbal communication skills
