Job Description:

The Manager of BioMed Contracting serves as the primary liaison and administrative navigator for the Division of Biology and Medicine’s (Division) contracting workflow, acting as the central processing hub for the management of a diverse range of agreements. This role is responsible for the hands-on coordination between Division departments, University administrators, and legal offices, ensuring that contracts and agreements move efficiently from initial request to final execution. The Manager handles the day-to-day administrative requirements of the contracting process, ensuring each document meets specific University guidelines and that all necessary internal approvals are secured.

The Manager processes and tracks a variety of agreements, including stand-alone contracts, Memoranda of Understanding (MOUs), Facilities/Equipment Use Agreements, Release Time Agreements (RTAs), and Purchased Services Agreements (PSAs). A core responsibility involves the maintenance and regular monitoring of the contract tracking systems, including the central Brown Contract Management (BCM) system and BioMed contract repository of approximately 350 Division-specific "off-system" agreements. As the main point of contact for procedural inquiries, the Manager assists faculty, staff, and administrators across 27 departments in completing necessary paperwork and navigating the technical steps required for contract submission.

The position functions as an intermediary between the Division and central University offices, such as the Office of the General Counsel (OGC) and the Office of Strategic Purchasing, Contracts, and Insurance (OSPCI), ensuring that all agreement/contractual documentation is accurate, complete, and routed to the correct reviewers. By monitoring deadlines and facilitating the exchange of signatures and edits between hospital affiliates, foundations, and University staff, the Manager supports the routine operational needs of the Division.

JOB QUALIFICATIONS

Education & Experience:

  • Bachelor’s degree required; plus, a minimum of 2 years of business, corporate or non-profit transaction experience including contract coordination required

  • Experience supporting complex agreements preferred

  • Academic Health Center experience preferred

  • And/or equivalent combination of education and experience

Job Competencies:

  • An understanding of contractual terms, conditions, and the ability to interpret regulatory guidelines (e.g., IRS independent contractor rules).

  • Exceptional precision in reviewing, drafting, and identifying potential risks in complex, long-form contracts.

  • Strong analytical and organizational skills

  • Excellent interpersonal skills required, including written and verbal communication skills

  • Demonstrated ability to build strong business relationships, maintain the highest level of integrity, and be adaptable to various communication styles, situations, and personalities

  • Proficiency in Microsoft Office Suite (Word, Excel)

  • Demonstrated ability to manage rapidly changing work priorities in a fast-paced environment and to multitask
