Manager – Logistics
Location: Gurgaon, India (Hybrid)
Education
Graduate/Postgraduate in Supply Chain, Logistics, International Business, or a related field.
Experience
10-15 years or more in Supply Chain and Logistics. Experience in managing a team is preferred. Must have good knowledge of local commercial laws, Customs, GST, LC, CAD, and Incoterms.
ERP Experience
Proficient in working with SFDC and SAP-B4 HANA.
Responsibilities
System Logistics – Local Currency Orders (Function: Sales)
- Responsible for order acknowledgement through to delivery at the customer’s site.
- Once shipped from the Supply Centre – reviewing BOE, handling customs clearance, posting Goods Receipt in SAP, preparing dispatch documents from SAP, organizing transportation quotes, arranging insurance, and sharing all relevant documents with concerned stakeholders to close the process.
- Preparing documents for bank negotiation for LC orders.
Spare Part Logistics (Function: Service)
- Managing end-to-end processes for orders in foreign currency from the principal Supply Centre (SC) in Europe.
- Responsible for order acknowledgement, payment follow-up with regional operational coordinators/team leader, and follow-up with the Supply Centre for shipment.
- Sharing shipping documents with SC colleagues for booking with freight forwarders, reviewing airway bills received from freight forwarders, and forwarding the same to the regional back office for onward submission to the end customer.
- Preparing documents for bank negotiation to claim LC/CAD.
- Handling all customs-related queries.
- Coordinating credit hold release and compliance release from respective teams for SAP documents.
Purchase Orders on Overseas Vendors (Function: Sales & Service)
- Creating purchase orders in SAP and sharing them with vendors.
- Following up with the Finance & Accounts team for payments.
- Managing receipt of shipping documents from vendors, customs clearance, Goods Receipt in SAP, raising invoices, and preparing all required documents for final dispatch to end customers.
Sales Orders on Supply Centre – Warranty Replacement (Function: Service)
- Managing order processing, shipment documents, customs clearance, Goods Receipt in SAP, invoicing, and dispatch for warranty replacement parts.
Inventory Management (Function: Service)
- Handling physical receipt of parts.
- Managing returns (RMA process) for parts issued under engineer requests but not used.
- Coordinating returns of parts to MP NL as part of a one-time plan to reduce non-moving inventory, including all customs-related procedures.
- Conducting physical inventory counts as per company requirements.
- Driving reduction of inventory at consignment locations.
- Coordinating yearly statutory stock audits.
- Working on inventory reduction of obsolete/non-moving items.
Demo System (Function: Sales)
- Preparing documentation, transportation quotes, and managing dispatch to customer/demo venues and subsequent returns.
Return of Faulty Items to Supply Centre (Function: Service)
- Managing documentation and customs processes as per Supply Centre and India customs requirements.
Reporting (Function: Service)
- Generating order income and revenue reports from SAP, including inventory, parts consumption, open consignments, and pending orders.
- Preparing various Excel-based control reports for internal monitoring.
Third-Party Parts and Services (Function: Service)
- Requesting, following up, and completing part code creation for third-party items to enable order placement as per new processes.
Super User / JIRA (Function: Service)
- Creating and following up on JIRA tickets for issues encountered by self and other colleagues working on SAP.
Mentoring and Management (Function: Service)
- Managing and assisting the back-office team with complex issues related to processes and IT.
- Conducting training sessions for the team on new processes and system changes.
Cost Control & Process Improvement (Function: Sales & Service)
- Monitoring freight and logistics costs to ensure cost efficiency and budget adherence.
- Implementing process improvements to enhance logistics performance.
