Position Summary:
Responsible for overall support of the Legal and Risk Team assisting with contract management, investigations, safety programs, and document management.
Primary Duties and Responsibilities:
Legal Roles:
Provides superior guest service.
Maintains, and perpetuates a positive organizational culture according to the principles of the Spirit of Tâlícn and the Core Values of ilani.
Administer Contract Management Program including initial intake, review, data entry, alert dates, and digitally filing documents.
Access legal documentation and legal records and research the law, legal specifics, relevant news stories, and relevant court documents.
Assist with the creation and completion of standardized agreements and legal forms.
Prepare and edit legal documents under the direction of the Legal Director.
Assist Legal Director in processing and responding to subpoenas, court orders and discovery requests.
Conduct legal research including but not limited to public records, court documents, articles, and publications.
Review and gather evidence and documents, and prepare reports based thereon.
Track implementation of legal recommendations to completion and coordinate spot checks to ensure consistent adoption and compliance.
Develop and support compliance-focused training and other materials for internal teams and departments.
Assist with various licensing requirements including but not limited to alcohol, music, vehicles, and other areas, as necessary.
Risk Management Roles:
Assist with OSHA Compliance including but not limited to Hazard Communication Program, Injury and Illness Prevention Program, Heat Stress, and OSHA record keeping.
Assists as needed with managing SDS/ Master lists of chemicals on property as required by OSHA.
Assists as needed with delivering CPR training for team members and tenants.
Coordinate and manage DMV titles and record program.
Assists as needed with gathering, compiling, and organizing reports and documents into files for general liability and Worker’s comp.
Interact with and assist insurance adjusters on ongoing claims.
Coordinate with other departments and employees to gather and seek out additional information and materials on claims filed, ongoing claims.
Answer phone calls and emails from both employees and patrons with claims against the casino.
Serve as secretary for the monthly safety committee meetings.
Act as a Liaison with CTPD for property damage cases.
Assist with property damage claims + restitution & remittance.
Assist in handling insurance claims and third-party dispute responses.
Review CIP reports, investigate restitution costs and payment tracking related to damages.
Assist with inspections.
Gather, compile, organize reports and documents into files for Damage Reports.
Write and send demand letters to recoup costs of damaged property.
Assists with drafting and formatting technical documents and written plans.
Submit POs for vendor invoices and supplies.
Inter-Departmental:
Provide overall support to the Legal and Risk teams.
Management of Certificate of Insurance collection and tracking.
Administrative work such as digitally filing documents, insurance paperwork and mailing reports, documents, along with legal documents and subpoenas.
Collaborate with teams to identify risks to the business, conduct investigations, and make recommendations for solutions.
Assist the Legal and Risk team in special projects including, but not limited to, record retention, compliance checklist and ad hoc projects, as necessary.
Identify and implement process improvements within the Legal and Risk team and with stakeholders in other departments.
Assist the Legal and Risk team with vetting and management of insurance programs.
Assist the Legal and Risk team with ad hoc research and projects, as necessary.
Manage meeting materials, agendas, emails, and action items and ensure follow-through.
Maintain confidentiality of sensitive information.
Additional duties as assigned.
Minimum Qualifications:
Bachelor’s degree in business or a related field and two (2) years of legal assistance experience, or an equivalent combination of education and experience.
Must possess excellent interpersonal skills with an ability to foster a supportive and enabling team environment.
Proven experience with dispute and conflict resolution.
Proven experience with research and investigations.
Excellent written and verbal communication skills.
Demonstrated project management skills.
Strong attention to detail.
Strong analytical skills and ability to think critically.
Strong research and reporting skills.
Must be willing to work in a smoking environment.
Must be willing to adhere to company health and safety measures.
Preferred Qualifications:
Tribal gaming experience.
Knowledge of CTGA and department policies and procedures.
Master’s degree completed or pursuing.
Demonstrated interest in Legal and/or Risk Management career .
