Acting under the direction and supervision of the Associate Collections Counsel and the Assistant Vice President/Senior Litigation Counsel, provides general paralegal functions in support of the Collections group, supports and directs other Collection staff, and supports the more general legal collection needs of the West Virginia United Health System (WVUHS) Legal Services Department.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor’s Degree OR high school diploma or equivalent AND Four (4) Years of high-level collection experience in a law firm or healthcare organization.

PREFERRED QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Paralegal certificate from an accredited organization preferred.

EXPERIENCE:

1. Four (4) Years’ experience related to collections and customer service.

2. Four (4) Years’ experience with collection related laws such as HIPAA, FDCPA, and WVCCPA.

3. Four (4) Years’ experience drafting legal documents such as complaints, motions, affidavits, orders, and releases.

4. Four (4) Years’ experience working with collection software and hospital billing software.

CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position.  They are not intended to be constructed as an all-inclusive list of all responsibilities and duties.  Other duties may be assigned.

1. Provides support to the Associate Collections Counsel for WVUHS in all collection matters, ensuring compliance with WVUHS policies and procedures, along with any government rules and regulations.

2. Perform cored duties and responsibilities of a Paralegal – Collections (200791). including: preparing and filing lawsuits; monitoring court cases and filing appropriate motions and notices; answering calls from attorneys and patients who have been sued for non-payment of bills; establishing payment plans through Agreed Orders signed by both parties and filed with the court; sending letters or responses to patients disputing balances owed; and preparing right to cure letters for patients who fail to honor agreed-upon payment plans.

3. Provide supervision to the Collection staff in processes and procedures adopted by Legal Services/Collections with respect to processing payments, making proper adjustments, setting proper action codes, and answering telephone calls.

4. Provide supervision to the Collection staff in processes and procedures adopted by Legal Services/Collections with respect to preparing litigation documents.

5. Develop and maintain a training manual by working with the Associate Collections Counsel and other members of the staff to streamline procedures to improve quality and efficiency.

6. Develop and coordinate onboarding of new Collection staff by ensuring that all new team members are properly trained and prepared to perform their duties effectively.

7. Assist Associate Collections Counsel and Legal Services Supervisor with assessment of individual Collection staff performances, workloads and reassignment of tasks or cases as required.

8. Assist Associate Collections Counsel in reviewing accounts for litigation.

9. Provide on-going training and mentoring to Collection staff.

10. Monitor changes to legal regulations to ensure that department guidelines and procedures are proper.

7. Experience with Microsoft 365 Suite and ability to use various computer programs.

8. Ability to provide customer service and collection support.

9. Experience with collection software and hospital billing software.

10. Strong analytical skills to perform legal and social media research.

11. Proficient with legal terminology, computer systems and database management.
