Legal Administrative Assistant (On-site, NYC)

We are seeking a highly organized and detail-oriented Legal Administrative Assistant to support our in-house Legal team.  This role combines executive-level administrative support with contract lifecycle coordination, compliance tracking, and legal operations support.

You will coordinate calendars, travel, and onboarding for attorneys; manage contract intake, execution workflows, and repository maintenance; support audits and litigation requests; and assist internal stakeholders across Legal, Sales, Finance, Account Management, and Risk Management. The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and is comfortable managing multiple priorities and workflows simultaneously.

This position requires regular attendance at our New York City office.

Responsibilities

  • Provide comprehensive administrative support to the Legal team, including calendar management, meeting coordination, travel arrangements, and expense reporting
  • Manage correspondence, document preparation, confidential information, legal invoices, purchase requisitions, and expense processing
  • Support internal meetings and events, including scheduling, logistics, and catering coordination
  • Coordinate onboarding of new team members, including IT equipment, system access, and first-day logistics
  • Manage contract lifecycle administration, including intake, document preparation, routing, DocuSign coordination, execution tracking, and repository maintenance
  • Leverage AI-powered and document automation tools to support contract intake, document summarization, and lifecycle tracking processes while adhering to data privacy and confidentiality standards
  • Maintain accurate contract tracking logs and reporting; monitor renewal, termination, and notice deadlines
  • Assist with template updates, client and intercompany agreements, and regulatory filings
  • Respond to internal client inquiries regarding contract terms and legal operations processes
  • Assist with subpoenas, litigation support requests, and document production
  • Track and manage State Bar MCLE/CLE compliance, including logging, reporting, registrations, and subscription payments
  • Coordinate conference registrations, webinars, and board or committee communications
  • Support ad hoc legal operations and cross-functional business projects as assigned
  • Other duties as assigned to fully meet the requirements of the position

Qualifications

  • 3–5+ years of experience in legal administration, contract operations, or legal support
  • Experience supporting attorneys in a corporate legal department or law firm
  • Advanced proficiency in Microsoft Office Suite (particularly Outlook, Excel, and PowerPoint) and other business productivity tools
  • Proficiency with contract management and legal e-billing systems
  • Strong organizational, time-management, and multitasking abilities with exceptional attention to detail
  • Strong critical thinking and analytical skills
  • Ability to manage confidential information with discretion
  • Strong written and verbal communication skills and ability to communicate effectively across all levels of staff within the organization
  • Ability to handle multiple priorities and meet deadlines in a fast-paced environment

Preferred Skills

  • Experience with AI-enabled legal technologies and document automation platforms, including a strong understanding of responsible AI usage, data governance, and confidentiality standards within a regulated corporate or fintech environment
  • Experience with document management systems such as iManage, NetDocuments, or SharePoint
  • Familiarity with DocuSign or other e-signature and workflow tools.
  • Experience supporting corporate governance activities, including board materials, resolutions, and regulatory filings
  • Experience with expense management and procurement systems
  • Paralegal certificate, project management training, or bachelor’s degree preferred

The role requires working onsite at our NYC office to collaborate closely with the Legal team and cross-functional partners.

Compensation Range: The salary range for this position is between $35.00- $53.00 USD per hour.
