Department Overview
We are looking for an HR Specialist for the HR Administration department. Our team provides full personnel services inside the company. The Employee in this position will be responsible for providing HR services for employees during
employment in accordance with the provisions of the Labor Code, i.e. keeping personal files, drawing up employment contracts and annexes to employment contracts, servicing all types of leaves, benefits and preparing work certificates.
Job Description
Key Responsibilities:
- Employee lifecycle management: managing the full employee life cycle administration, from hire to retire, ensuring a seamless experience
- Personnel records administration: overseeing comprehensive employee documentation (both digital and hard copy) in strict accordance with labor law and data protection regulations
- Contractual documentation: drafting and managing employment contracts, addendums
- Onboarding & offboarding: executing end-to-end onboarding and offboarding processes, including conducting in-person welcome trainings for new hires
- Internal HR compliance: developing, documenting, and implementing internal HR procedures, instructions, and policies to ensure organizational alignment
- HR support & advisory: serving as the primary point of contact for employees and managers regarding HR-related inquiries and support
- Deadline compliance: proactively monitoring critical timelines, including contract expiries etc.
- Benefits administration: collaborating with external providers (medical, insurance, PPE) to manage enrollments, updates, and ongoing program administration
- Reporting & analytics: generating customized reports and dashboards using MS Excel and HR tools to track and analyze key HR metrics
- Regulatory filings: preparing and submitting mandatory declarations and documentation to social security and other regulatory bodies
- Data integrity: recording and maintaining accurate employee data within HRIS platforms and internal data bases
- Cross-functional collaboration: partnering with Payroll and Talent Acquisition (TA) teams to ensure data accuracy, compliance, and timely reporting
- Global projects: actively participating in and contributing to global HR initiatives and organizational projects
Basic Requirements
Skills – Must Have
- Minimum 3-4 years of experience in HR Administration area
- Good practical knowledge of Polish labor law and related legal regulations
- Skilled in using HR software (e.g., Xpertis, SAP, Optima)
- Skilled in using Płatnik
- Skilled in using MS Office package and Google Workspace
- Communicative and fluent English
- Strong organizational and time management skills
- Out-of-the-box thinking
- Good interpersonal and customer-facing skills
- Flexibility and openness to constant and fast change
- Solution-oriented mindset
- Good analytical and synthetic skills
Skills – Nice to Have
- Knowledge of regulations concerning the employment of foreigners
- Knowledge of PPE regulations
- Experience in collaborating with benefits providers
- Experience in preparing internal procedures and instructions
- Experience in the full breadth of HR administration vital to a successful HR department's daily operations
