SUMMARY
The HR Operations Specialist provides comprehensive administrative and operational support to the Human Resources department. This role is pivotal in managing and enhancing operations within HR and improving department efficiency overall. The HR Operations Specialist is often exposed to all areas within human resources and may be asked to assist with a variety of HR related tasks.
DUTIES AND RESPONSIBILITIES
May include, but are not limited to, the following:
- Manage the end-to-end vendor relationship and coordination of the drug and alcohol screening program, including maintenance of HR contact lists, invoice validation, and preparation and review of reports regarding testing outcomes, vendor performance and compliance metrics.
- Serve as the point of contact for HR Operations vendors and internal team members: validate incoming vendor invoices for accuracy, enter invoices into the vendor invoice management system, assign appropriate general ledger (GL) account codes and cost centers, research discrepancies, and ensure accurate and timely payments.
- Act as the primary point of contact for unemployment claims administration. Coordinate with the vendor and with internal HR business partners to facilitate the collection of necessary information and evidence (e.g., termination data, work history, earnings data, etc.).
- Coordinate with Westlake’s designated vendor to ensure timely distribution of HR Compliance notices and posters.
- Respond to and/or facilitate responses to employment verification requests for current and former Westlake employees.
- Facilitate bi-weekly HR Business Partner call: solicit topics, maintain Teams meeting distribution list, prepare and distribute meeting minutes.
- General office administration activities: ordering and managing office supply inventory; handling the opening, sorting, and distribution of HR department mail; coordinating deliveries; answering phone calls and resolving issues or directing callers to applicable HR functional area.
- Coordinate with various HR functional areas to update and maintain current content and HR contact information on the HR Sharepoint Connect site pages.
- Coordinate storage and destruction of hard copy HR / Payroll files and records in accordance with document retention regulations and Westlake retention policy.
- Develop and maintain administrative procedures relative to the functions of this position.
- Identify and implement process improvements to continuously enhance the efficiency, compliance, and operation of the HR department.
- Support the execution of HR processes and initiatives for various HR functions, including payroll, benefits, employee relations, people analytics and HRIS activities.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
- Bachelor’s degree in human resources related field with 1-2 years of relevant work experience or a minimum of 10 years of equivalent work experience.
- Strong communication, attention to detail, problem-solving, and organizational skills are crucial. The ability to multitask in a fast-paced environment is also important.
- Demonstrated ability to work collaboratively in a team environment.
- Proficient in MS Office Suite and HR information systems. Experience with Workday preferred.
- Ability to maintain confidentiality and handle sensitive information.

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. Additionally, this position must make general decisions requiring judgement and perform activities requiring sustained concentration.
WORK ENVIRONMENT
The noise level in the work environment is sometimes moderate when working in an office. Travel including air travel or auto travel may occasionally be required.
