Overview

The Fuel Services Coordinator monitors the underground fuel storage and replacement program and coordinates the annual test and inspections required by the Texas Commission on Environmental Quality (TCEQ) for fuel services. Maximizes the practice of efficient fuel purchase and consumption through management of fuel inventory.

Essential Functions

1 Manages, monitors, and coordinates the fuel inventory by maintaining continuity of fuel operations by documenting and communicating needed actions to management, discovering inventory irregularities, determining continuing needs by analyzing information; and identifying and communicating solutions by utilizing various reports and spreadsheets.

2 Reviews data of fuel usage, odometer corrections, and daily reconciliation of fuel inventory and operations of fuel dispensing system.

3 Prepares specifications and plans fueling equipment purchases, upgrades, annual fuel contracts and underground storage tank equipment; manages the fuel ordering and receiving log, tracks order numbers, and ensures payments and processing occur with transparency and efficiency.

4 Maintains adequate fuel and lubricant inventories to include purchases and scheduling deliveries; ensures proper prices in automated fuel system are operational and updated.

5 Receives breakdown calls and responds to ensure that computers, fuel terminals, and fueling equipment are operable.

6 Prepares inventory purchases, ledgers, and cost of sales reports; tracks, drafts, and presents budget spreadsheets and current projections regarding fuel costs and demand; keeps detailed inventory of fuel used, acquired, and budgeted.

7 Prepares State and Federal fuel tax and tax refunds; files paperwork on time and efficiently adhering to all regulations and procedures.

8 Identifies, gathers, and prepares fuel credit and overcharges reports; prepares yearly fuel and lubricant expenditure projections.

9 Consistently analyzes information and fuel consumption; identifies possible issues and communicates solutions to serve fuel efficiency and minimize cost per gallon.

10 Performs any and all other work as needed or assigned.

Knowledge and Skills

1 Knowledge of fuel dispensing systems.

2 Knowledge of rules and regulations governing underground storage tanks (UST's) to include inspection requirements.

3 Knowledge of specifications and annual contract process.

4 Knowledge of procurement process and fuel industry standards.

5 Knowledge of underground storage tank inventory system and required forms.

6 Knowledge of fuel measurement methods and tank specification.

7 Knowledge of rules and regulations related to tax and refund opportunities.

8 Knowledge of automated car wash systems.

9 Ability to prepare concise reports.

10 Communicating effectively both verbally and in writing.

11 Establishing and maintaining effective working relationships.

MINIMUM QUALIFICATIONS:

EDUCATION

  • Bachelor’s degree in Business, Finance, Accounting, or related field.

EXPERIENCE

  • Three (3) years of experience in fleet and fuel management services, or other accounting experience.

AND

  • One (1) year of supervisory/leadwork experience.

EQUIVALENCIES

  • High school diploma or GED plus seven (7) years of required experience, including one (1) year of leadwork/supervisory experience, will meet the education and experience requirement

  • Associate degree in any field plus five (5) years of required experience, including on (1) year of leadwork/supervisory experience, will meet the education and experience requirements

  • Bachelor's degree (or higher) in a non-specified field plus five (5) years of required experience, including one (1) year of leadwork/supervisory experience

  • Master's degree (or higher) in a specified field plus one (1) year of the required experience, including one (1) year of leadwork/supervisory experience, will meet the education and experience requirements

LICENSE

  • Valid driver's license with good driving record



Salary Range

 

$58,801.60 - $70,574.40
