Press Events, Workshops & Press Trips

Mission / Purpose

Plan and coordinate press-focused events and activities, including press trips, workshops, background briefings, and press events linked to funded projects. The role covers end-to-end event logistics and coordination of press communication activities.

Ideally, the freelancer should be based in the Bonn area.

Key Responsibilities

  • Support the organisation of press trips (e.g. to Brussels, Strasbourg, or other locations), including participant selection, participant communication, logistics (such as travel and accommodation where applicable), and the preparation of press kits and briefing materials.
  • Organise media workshops in the region, including participant selection, venue and catering arrangements, and the production or coordination of communication materials (e.g. background documents, presentations).
  • Organise background briefings across several German federal states, including location identification, logistical arrangements, catering, press invitations, and preparation of press kits.
  • Organise press events linked to funded projects, including maintaining an overview of projects and opportunities, securing participant involvement, coordinating press releases, managing logistics and catering, preparing press kits, and monitoring post-event coverage.
  • Support the organisation of press events or meetings involving senior-level institutional representatives in the region, including press invitations, targeted outreach to relevant journalists and editors, and media coverage monitoring.

Deliverables / Outputs (examples)

  • Event plans, run-of-show documents, invitation and participant lists, logistics plans, press kits, participant management materials, and post-event coverage summaries.

Work Setup

  • Total of 45 working days.
  • Approximately 10 days per year on-site in the Bonn region; remainder delivered remotely.

Must-Have Requirements

  • Native or mother-tongue level German for stakeholder- and press-facing delivery.
  • Strong professional English.
  • Demonstrated experience organising press events and workshops, including hands-on management of logistics and press materials.
