Facilities Support - Fixed Term

Main purpose

The successful candidate will support the Facilities team across a range of responsibilities, including inventory management, vendor coordination, procurement of essential office supplies, and the reporting and documentation of related processes. This is a 6-month fixed-term position.

Key responsibilities

Procurement:

  • Supplies Planning: Conduct regular stock surveys and analyze consumption patterns to execute monthly purchases of sanitary, cafeteria, and stationery supplies, managing relationships with preferred vendors.
  • On-Demand Purchasing: Handle non-recurring purchase requests by gathering and comparing a minimum of 2–3 quotes, evaluating costs and Service Level Agreements (SLAs) to recommend the most suitable vendor.
  • Project Support: Collaborate on tender processes and coordinate deliveries for minor works and office renovations.

Vendor Coordination:

  • Schedule and follow up on planned maintenance routines with vendors, managing building access authorizations as required.
  • Track and report progress against the working calendar to ensure timely execution.

Asset & Inventory Management:

  • Warehouse Control: Maintain an accurate and up-to-date inventory of parts and equipment across internal and external warehouses and office locations, generating inventory reports as required.
  • Disposal Management: Coordinate equipment decommissioning and removal from active inventory in collaboration with the Zonamerica Inventory Control team.

Event Coordination:

  • Provide end-to-end logistical support for corporate events, managing vendor relationships and coordinating all operational requirements in line with specific event briefs.

Preferred qualifications

  • Facilities and/or related administrative work experience is valued.
  • Work background in multinational companies is a plus.
