Job Summary
The Executive Assistant (EA) to the President and Managing Director of HP Canada provides high-level administrative and strategic support to the President and leadership team. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. The EA acts as a trusted partner, ensuring seamless coordination of executive activities, communications, and business operations while working closely with the Chief of Staff to support organizational priorities and executive initiatives. This role requires strong anticipatory management skills, including anticipatory calendar management, with the ability to proactively identify needs, resolve issues before they arise, and ensure the President and leadership team are prepared and supported at all times.
Manage and maintain the President’s complex calendar, including scheduling meetings, travel arrangements, and executive priorities.
Provide anticipatory calendar management by proactively assessing scheduling priorities, identifying conflicts, preparing briefing needs, and ensuring alignment with business objectives and executive commitments.
Partner closely with the Chief of Staff to coordinate executive priorities, strategic initiatives, and leadership activities.
Serve as the lead Executive Assistant for the organization, providing guidance, support, and coordination for other administrative professionals across the business.
Foster collaboration and best practice sharing among the administrative team to ensure operational excellence and consistency.
Coordinate domestic and international travel, itineraries, expense reports, and logistics.
Prepare presentations, reports, agendas, briefing materials, and executive communications.
Support and maintain standard executive communications, including internal announcements, leadership updates, presentations, and organizational messaging.
Serve as a liaison between the President, leadership team, employees, customers, and external partners.
Organize and support executive meetings, leadership events, town halls, and board-related activities.
Handle confidential and sensitive information with a high degree of discretion and professionalism.
Track action items, follow up on deliverables, and ensure timely completion of key initiatives.
Support strategic projects and operational activities on behalf of the President’s office.
Assist in planning and coordinating employee engagement and leadership initiatives across HP Canada.
Build strong partnerships with internal stakeholders across HR, Finance, Legal, Sales, and Operations teams.
Anticipate executive needs and proactively resolve scheduling or operational challenges.
Education & Experience Recommended
• High School Diploma/General Education Diploma (GED)/Higher Secondary education or commensurate work experience or demonstrated competence.
• Typically has 6-8 years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field.

Compensation and Benefits
The salary range for this role is $57,000 to $75,000 annually with . Pay within this range will be based on the review of experience, skills, and internal equity.
As a full time, employee of HP Canada, you will be eligible to participate in the company's group benefit programs, including medical, dental, life insurance, and disability coverage, subject to the terms and conditions of the applicable plans. During your employment term, you will receive 15 paid vacation days per year prorated based on your start date. Detailed information regarding benefits—will be provided upon hire and is subject to the terms and conditions of the applicable plans.
