Summary


We are seeking a highly organized and detail-oriented executive assistant to support our Head of Poland. The ideal candidate will possess the ability to exercise good judgment in various situations and demonstrate strong communication and organizational skills. They should also be able to work independently and handle a wide range of activities and confidential matters with discretion.


What you’ll do:

Assist Poland Management Team with a wide variety of administrative tasks including calendar management, expense reporting, preparing sensitive or confidential correspondence, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.
Manage a complex calendar and keep the Head of Poland well informed of upcoming commitments and responsibilities. Serve as a primary point of contact.
Follow all internal policies and processes, including travel and expense reporting, and work with Compliance to obtain required approvals. 

Exercise strong judgment when conflicts arise, handle matters proactively and expeditiously, and ensure successful completion of projects under firm deadlines.
Prepare communication materials and business-related presentations.


What’s required:

Strong organizational skills and an ability to prioritize multiple tasks with excellent attention to detail

5+ years of experience supporting C-level executives
Capacity to prioritize tasks effectively and adapt to an ever-changing work environment.Strong interpersonal skills and the ability to build strong internal relationships
Ability to exercise sound judgement in a variety of situations and to demonstrate proactive approaches to problem-solving
The ability to be a resourceful team-player while also working well independently
Proactive approach to problem-solving with strong decision-making capability
Proven ability to handle confidential information with discretion
Excellent client service and communication skills, both written and verbal
Prior experience working in a global organization and managing global stakeholders
Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Zoom
