About the Role
The Executive Assistant’s objective is to provide proactive, high-level administrative and strategic support to senior leadership by managing communications, schedules, and operational priorities with efficiency, accuracy, and discretion. This role aims to optimize executive effectiveness, enable informed decision-making, and ensure seamless coordination across internal and external stakeholders, allowing the executive to focus on organizational leadership, strategy, and performance outcomes.· Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements
· Act as the primary point of contact between the executive and internal/external stakeholders
· Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the executive
· Prepare agendas, presentations, reports, and briefing materials for meetings and events
· Facilitate effective communication across departments and with external partners
· Coordinate meetings, including logistics, documentation, minutes, and follow-ups
· Handle confidential and sensitive information with the highest level of discretion
· Draft professional correspondence, announcements, and executive communications
· Support special projects, initiatives, and executive-led programs as needed
· Track action items, deadlines, and deliverables to ensure timely completion
· Assist in planning executive events, board meetings, and leadership offsites
· Maintain organized filing systems (digital and physical) for records and documents
· Anticipate executive needs and proactively resolve scheduling or operational conflicts
· Conduct basic research, data gathering, and analysis to support decision-making
· Prepare expense reports, monitor budgets, and liaise with finance or procurement teams
· Assist with process improvement and administrative best practices
