Bachelor’s degree plus three (3) years of administrative or coordinating educational programs experience or High School diploma/GED plus seven (7) years of administrative or coordinating educational programs experience required.
Knowledge, Skills & Abilities:
Must be proficient with Microsoft Office Programs including, Outlook, Word, and Excel.
Must have outstanding organizational and communication skills.
Preferred Qualifications:
Four (4) years of experience in business, financial, administration, management, or grant management.
Working knowledge of Workday and UAMS GUS.
Additional Information:
Responsibilities
Assist in the design, development, and management of online and print educational materials, marketing content (print, video, social media), and promotional resources for NEO and Pharmacy Practice programs.
Support recruitment, enrollment, onboarding, orientation, completion tracking, and credentialing for NEO participants, residents, and fellows; maintain secure trainee records and issue certificates of completion.
Coordinate resident and fellow application reviews, interviews, Chief Resident and Postgraduate Committee processes, and preceptor development planning.
Monitor resident, fellow, and preceptor evaluations; track educational objectives, accreditation compliance updates, rotation schedules, leave records, and faculty/preceptor credentials.
Assist with accreditation documentation preparation and participate in onsite accreditation reviews.
Reconcile and report program budgets; process invoices, payments, purchasing, interdepartmental transfers, startup accounts, contracts (NTRACTS or UAMS-approved systems), and travel expenses; provide quarterly financial reports.
Prepare and present enrollment, budget, and programmatic statistical reports for leadership.
Coordinate administrative and programmatic functions with internal departments and external partners, including the University of New Mexico and national organizations.
Plan and manage marketing events, onboarding sessions, graduation ceremonies, luncheons, receptions, and departmental meetings.
Attend Residency Program Director (RPD) meetings; document minutes and support follow-up action items for the Vice Chair for Postgraduate Professional Training.
Provide teaching and academic program support for the PharmD curriculum, including classroom scheduling, technology coordination, teaching material review, and student request management.
Manage departmental correspondence, filing systems, meeting scheduling, and workspace resources (hardware, software, office supplies) in coordination with UAMS IT.
Maintain organized systems for departmental documentation and reporting.
Perform additional duties as assigned to support departmental operations.
