Tessera is seeking a reliable, detail-focused Dorm Assignment Clerk to support the Base Maintenance Contract (BMC) at the United States Air Force Academy. Responsibilities include maintaining dormitory assignment records, processing rooming actions to USAFA housing policy, coordinating move-ins/move-outs and access (CAC/key), and submitting and tracking maintenance requests with BMC teams. Top candidates will demonstrate strong records management, accurate data entry, contractor liaison, report generation in Excel, PII safeguarding, customer service, and escalation judgment.

Typical duties include but are not limited to:

  • Maintain and update dormitory assignment records, rosters, and occupancy databases with high accuracy.
  • Process room assignments, transfers, consolidations, and vacancy actions in accordance with USAFA housing policies.
  • Coordinate move-in and move-out schedules, key and CAC access procedures, and room inspections with Facilities, Base Maintenance Contract personnel, and Cadet Wing leadership.
  • Submit, track, and escalate maintenance requests to Base Maintenance Contract teams and ensure timely resolution and status updates.
  • Respond to cadet housing inquiries, special housing requests, and roommate mediation referrals; escalate complex issues to dorm leadership.
  • Manage and perform all functions related to furnishings management for cadet dormitories, including resource oversight, inventory control, and condition assessment.
  • Produce daily and periodic reports on occupancy, maintenance status, vacancies, and trends for dorm leadership and Facilities.
  • Support housing-related events such as orientation, contingency billet management, and seasonal turnover.
  • Assist with records for audits, investigative requests, and command briefings while safeguarding cadet privacy and sensitive information.

Qualifications: 

  • Associate degree in business administration, public administration, or related field preferred.
  • Minimum 2 years of clerical or administrative experience; at least 1 year supporting housing, residential life, military billet management, or facility coordination strongly preferred.
  • Proficiency with Microsoft Office (Excel, Word, Outlook); strong data-entry accuracy and database management skills; excellent written and verbal communication.
  • Familiarity with DoD records management, privacy (e.g., handling PII), and basic safety/fire inspection processes preferred

  • May be required to reach, kneel, walk, stand, and use repetitive motion for several hours at a time based on position duties.
  • Work may require repetitive motion, reaching, lifting, kneeling, and walking. Standing or sitting for several hours at a time, climbing in and out of a vehicle, and up and down stairs may also be required.
  • Must have the perseverance to work effectively under pressure for extended periods of time.
