As a Department Administrator, you will play a critical role in supporting personnel planning and deployment for projects requested by Account Project Managers. You will be an integral part of the departmental support team, working closely with Operations to ensure field personnel are effectively resourced, briefed, trained, and compliant with Baker Hughes safety and quality standards.

This role is primarily based in Aberdeen, with responsibility for Great Yarmouth (GY) field staff, and operates under a local UK contract.

As a Department Administrator, you will be responsible for:

  • Supporting the planning and delivery of personnel resources requested by Account Project Managers
  • Ensuring timely execution of instructions from the Personnel Coordinator and effective daily personnel coordination
  • Ensuring all field personnel are fully briefed on work scope, duties, risks, and HSE requirements
  • Communicating job details, mobilisation schedules, and check‑in times to offshore and field crews
  • Maintaining effective communication with third‑party agencies, supplier representatives, and internal stakeholders
  • Promoting and driving a strong HSE, Quality, and Compliance culture across the UK offshore team
  • Maintaining and updating manpower plans, competency trackers, training records, and PPE requirements
  • Acting as a proxy for UKG and Fieldglass, supporting on‑call coverage, and providing team cover as required

  • Have strong proficiency in Microsoft Office applications
  • Have experience with Fieldglass (highly beneficial)
  • Have a strong understanding of Oracle systems
  • Have excellent written and verbal communication skills
  • Have strong interpersonal skills and the ability to work across multiple stakeholders
  • Have excellent attention to detail and exemplary record‑keeping abilities
  • Be a self‑starter capable of working with minimal supervision
  • Demonstrate a strong safety mindset and actively participate in all company safety programs
  • Have knowledge of personnel sourcing markets and workforce management practices
