Commercial Assistant

Maidstone, Turkey Mill – Office based

Permanent, Full time, 24 hours per week, Monday to Friday

Salary up to £18,000 per annum prorated

Our Kent Facilities Management branch supports two major NHS Trusts in the Kent region. The branch is responsible for administering all activities related to delivering facilities management services across multiple buildings. Our purpose is to ensure these buildings are safe, compliant, and fully operational for their users. Some of our core repair and maintenance functions include – Gas, Electrical, Lifts, Water and General plumbing and building works.

About the role:

We are looking for a Commercial Assistant to join our local Facilities Management team, supporting the Commercial & General Manager to deliver strong commercial control, accurate reporting, and exceptional customer service. You will play a key role in ensuring high standards of commercial performance, safety, quality, and cost management across the contract.

Key Responsibilities

  • Review and verify work order pricing and subcontractor submissions
  • Ensure accurate coding and progression of completed jobs to invoicing, supporting cash collection and minimising unbilled work
  • Liaise with subcontractors to resolve pricing queries and disputes, reporting trends or discrepancies to the Commercial Manager
  • Monitor overheads and contract expenditure including vehicles, tools, stock, equipment, and petty cash
  • Provide coding guidance to the Planning Team to ensure jobs are raised and varied correctly
  • Support delivery of a commercially focused service in line with contractual and operational standards
  • Maintain a professional approach with all stakeholders, demonstrating strong customer service and compliance with Health & Safety and company standards
  • Attend internal and client meetings and training sessions as required
  • Assist with general commercial tasks across the branch
  • Verify quotes and audit job records to ensure compliance and accuracy

Key Criteria:

  • Experience in a similar role
  • Experience in financial admin role
  • Experience in FM or social housing sector
  • Experience in a commercial environment
  • Excellent communication skills
  • Ability to work alone as well as part of a team
  • IT literate
