Job Description:

The Department of Communication Sciences & Disorders is seeking an Office Support Coordinator to work in the Speech, Language, Hearing Clinic. Excellent interpersonal skills are required to interact with the public, to handle the needs of the faculty members and students directly involved in clinic activities, and to communicate with clients who may have disorders of speech, language and/or hearing. The office in which this person works is adjacent to the clinic waiting room, and is the person who warmly greets clients. This person also interacts, on the faculty's behalf, with colleagues in other departments and at other universities, professionals in the fields of medicine and other aspects of health care, and employees of various state and federal agencies.

Job Responsibilities

30% - Administratively assists the Clinic Director with reports required for department, college, university, external agencies, accrediting bodies, etc. The content of reports is manifold and ranges from the simple (types of clients) to complex (individual student experiences and client results). These reports are important because they are used for departmental evaluation, departmental planning, programmatic planning, and as part of our annual report to the American Speech-Language-Hearing Association for accreditation. The person in this role has signature authority on routine clinic office matters in the Clinic Director's absence. Assists and oversees all clinic office procedures (e.g., but not limited to, guidelines for students' access to confidential files on clients, checking out and checking in therapy and diagnostic materials, and other procedures that are often protected by HIPAA regulations). Keeps up with parking procedures and directs/communicates parking information/permits to clients, visitors, research participants, etc. Is responsible for active and inactive files and the retrieval, as needed per legal request.

20% - Secretarial-Maintains all Client files. Coordinates clinical scheduling and parking passes for client therapy and evaluations. Answers phones and directs calls to the proper contacts. Returns and responds to messages within 24 hours. Schedules all diagnostic clients for speech and hearing evaluations. Takes calls for cancellation of appointments. Maintains client list for current semester as well as waiting list for future semesters. Assists in handling all correspondence related to clinical affairs. Distributes audiology reports and patient records to referring providers and patients upon request, following appropriate authorization procedures. Provides appointment reminders to patients prior to scheduled visits. Assists patients with hearing aid drop-offs and pick-ups for service. Assists in preparation and maintenance of the Clinic Handbook and other documents and reports related to clinic functions. Manages the use of one copier/fax machine for the entire department. Sees to general maintenance and repair. Manages the use of one credit card machine according to industry standards set by the Procurement Department.

15% - Insurance-Submits Insurance claims and keeps updated on changes. Submits insurance claims for hearing aids and related services in accordance with clinic and payer requirements. Verifies insurance coverage for hearing aid benefits when needed. Maintains documentation related to insurance billing and claims processing. Tracks hearing aid claim reimbursement. Works with doctors on referrals. Develops and maintains all clinical records used by instructors and students in accordance with HIPAA guidelines. Assists with the preparation of and is responsible for distribution of all reports, including those written at the beginning and end of each semester for therapy clients as well as those written to report the results of an evaluation. The information is always kept confidential and is performed with accuracy and security.

15% - Clinical-Maintains training and is knowledgeable about the functions and aspects of running the clinic. Assists all clinicians and students in the instruction and training of the Electronic Medical Records system. The clinic has many desktop computers and laptops with Electronic Medical Records software; this software is used by clinical faculty and students. Maintains software updates and collaborates with the Electronic Medical Records software representatives to keep abreast of changes and training. Assists director with evaluation procedures associated with the clinic (e.g., client satisfaction evaluations).

10% - Purchasing-Maintains clinical materials such as therapy supplies, forms, testing materials, batteries, etc. and anything the clinic needs for instructors, students and/or clients.

10% - Other duties as assigned

Minimum Qualifications

Education: Bachelor's degree

Years of Experience: 1 year of related experience
