The Clinician Licensing Specialist is responsible for managing the complete lifecycle of professional licenses for ChenMed's clinical providers (MDs, DOs, NPs, PAs) across multiple states, including initial applications, renewals, and maintenance of Controlled Substance (CDS) licenses. This position supports ChenMed's mission of transforming care for seniors by ensuring full regulatory compliance and empowering primary care providers to lead their teams. The candidate serves as the primary point of contact for providers regarding licensing questions and requirements while maintaining comprehensive tracking systems and ensuring 100% compliance with state medical board requirements and CMS regulations.

ESSENTIAL JOB DUTIES/RESPONSIBILITIES:

  • Manages initial license applications and renewals for physicians (MD/DO), nurse practitioners (NP), and physician assistants (PA) across all ChenMed locations.
  • Processes and maintains Controlled Dangerous Substance (CDS) licenses and DEA registrations for all clinical providers.
  • Develop FCVS (Federation Credentials Verification Service) profiles for physicians, ensuring all required information is complete and up-to-date.
  • Accurately submits FCVS profiles and other necessary documentation to state medical licensing boards in compliance with state specific requirements and deadlines.
  • Monitors license expiration dates and proactively manages renewal timelines to prevent any lapses in provider licensing.
  • Maintains comprehensive tracking systems and databases for all provider licenses, ensuring accurate and up-to-date records.
  • Ensures 100% compliance with state medical board requirements and CMS regulations governing Medicare Advantage operations.
  • Develops and maintains standardized processes and checklists for licensing activities to ensure consistency and accuracy.
  • Coordinates with providers to gather required documentation, transcripts, and verification materials needed for licensing applications.
  • Interfaces with state medical boards, licensing agencies, and third-party verification services to facilitate licensing processes.
  • Conducts monthly audits on clinician licensing to efficiently manage active and inactive licenses.
  • Maintains detailed records and documentation in compliance with regulatory requirements and audit standards.
  • Prepares regular reports on licensing status and compliance metrics for leadership review.
  • Serves as primary point of contact for providers regarding licensing questions, requirements, and status updates.
  • Guides new hires through the licensing process with urgency and care to support rapid provider onboarding.
  • Communicates proactively with providers about upcoming renewals and requirements to prevent delays.
  • Coordinates with credentialing teams to ensure seamless provider onboarding and licensing alignment.
  • Stays current with licensing requirements across all states where ChenMed operates and monitors regulatory changes.
  • Manages interstate licensing processes and reciprocity applications to support provider mobility.
  • Supports ChenMed's expansion into new markets by providing licensing expertise and requirements analysis.
  • Identifies process improvement opportunities and presents recommendations to leadership stakeholders.
  • Undertake additional responsibilities and contribute to special projects as required

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of state medical licensing requirements and processes across multiple states.
  • Knowledge of DEA and controlled substance licensing regulations and renewal processes.
  • Knowledge of Medicare Advantage and CMS compliance requirements related to provider licensing.
  • Understanding of credentialing requirements such as those outlined by NCQA, AAAHC and/or URAC.
  • Ability to effectively communicate, both verbally and in writing, with team members, supervisors, providers, clinicians and regulatory contacts.
  • Ability to maintain complete confidentiality in handling sensitive licensing and provider information.
  • Excellent organizational, interpersonal and follow-up skills with attention to detail and accuracy.
  • Strong problem-solving skills are essential. Database management skills including querying, reporting, and document generation.
  • Ability to organize and prioritize work and manage multiple priorities simultaneously to meet critical deadlines.
  • Ability to work independently with minimal supervision while maintaining high standards of accuracy.
  • Ability to establish and maintain effective working relationships with external regulatory agencies and internal stakeholders including providers, management, and staff.
  • Proficient in Microsoft Office Suite products including Word, Excel, PowerPoint and Outlook, plus a variety of other word-processing, spreadsheet, database, e-mail and presentation software.
  • Ability and willingness to travel locally, regionally and nationwide up to 10% of the time.
  • Spoken and written fluency in English.

EDUCATION AND EXPERIENCE CRITERIA:

  • Bachelor's degree preferred or equivalent combination of education and experience
  • Minimum 3 years of experience in healthcare licensing, credentialing, or regulatory compliance

PAY RANGE:

$20.2 - $28.83 Hourly

The posted pay range represents the base hourly rate or base annual full-time salary for this position. Final compensation will depend on a variety of factors including but not limited to experience, education, geographic location, and other relevant factors. This position may also be eligible for a bonuses or commissions.
