This is a 12‑month contract role with the possibility of renewal based on performance and business needs.
Based in Kuala Lumpur, the Business Support Assistant will provide comprehensive administrative, operational, and coordination support to the Water business team. This role is responsible for managing day‑to‑day activities such as scheduling, travel coordination, procurement, financial processing, documentation, and internal communications. The successful candidate will play a key role in ensuring smooth business operations, supporting cross‑functional needs, and enabling the team to operate efficiently in a fast‑paced environment.
Job Responsibilities
Provide proactive administrative and operational support to the team, including managing calendars, coordinating meetings, preparing correspondence, and arranging travel and accommodation for team members.
Oversee procurement and logistics activities, including raising purchase requisitions, managing courier arrangements, and ensuring timely follow‑through on operational tasks.
Process invoices, expense claims, and financial documents accurately and efficiently, ensuring full compliance with company policies and collaborating closely with the Finance team when needed.
Support travel‑related documentation for the local Water Solutions team, such as coordinating visa applications, passport renewals, and other required paperwork.
Facilitate smooth internal and external communication, serving as the primary point of contact for inquiries and ensuring prompt, professional responses.
Contribute to business operations through ad‑hoc assignments, demonstrating flexibility and a strong service mindset to support team needs and organizational priorities.
Job Qualifications
Bachelor’s degree in Business Administration, Office Management, or a related discipline.
2–3 years of hands-on experience in administrative support, office management, or business operations, preferably in a fast‑paced corporate environment.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to prepare high‑quality documents and reports.
Excellent organizational and time‑management skills, with the ability to manage multiple priorities and meet deadlines efficiently.
Exceptional communication skills in English, both written and verbal, with a professional and customer‑focused approach.
High attention to detail and accuracy across all tasks and documentation.
Self-driven, proactive, and resourceful, with the ability to work independently while also collaborating effectively within a team.
Adaptable and resilient, able to work well in a dynamic environment with evolving priorities.
Experience with Concur or similar travel and expense systems will be considered an advantage.
